Understanding and Using View As

Overview

The View As tool allows users to access Faculty Success from another user's perspective without needing their login credentials. The View As tool can be used to troubleshoot issues, guide faculty through tasks, and review the information displayed in a user's account.

Who can use View As?

The View As permission is included by default in either the University Administrator or College Administrator security role, depending on which serves as the top-level administrator role in your institution's Faculty Success configuration. Users assigned to these roles automatically have access and do not need to request it.

To grant View As access to additional users, a University Administrator or College Administrator must submit a General Work Request to choose one of the following options:

  • Add View As to an existing security role: This grants the permission to all users assigned to that role.

  • Request a standalone View As security role: Creates a dedicated role with the permission that can be assigned to specific users.

Note: Regardless of the option chosen, the security role must also include access to Users & Security for users to launch View As.

How to use View As

  1. Navigate to Tools > Users and Security.
  2. Search for the user by name or email address.
  3. Locate the user in the search results.
  4. Select View As next to their account.

After selecting View As, the user's Home page then opens with a banner at the top indicating which user you are viewing, as shown in the image below:

What can you do in View As?

View As currently provides access to two areas of the user's account:

Home

The Home page displays the user's Tasks & To-Dos, including tasks related to Reviews, Promotion and Tenure (RPT) and publications identified through Proactive Search.
The Home page Tasks & To-Dos section showing the "To Do" and "Completed" tabs with pending review items.

Tasks are organized into two tabs:

  • To Do: Items requiring the user's attention. Tasks with due dates, such as RPT review tasks, appear before publications awaiting review.
  • Complete: Items the user has reviewed or completed.

RPT tasks can appear for faculty participating as candidates or serving in reviewer roles, such as department chairs or committee members.

Administrators can interact with the available tasks and features to help users troubleshoot or complete actions.

For more information, see Getting Started From the Home Page and Approving or Rejecting Matched Publications in your Task List.

My Profile

The My Profile page displays the user's academic and professional activities. Administrators can review the information displayed and interact with available features, including Add Activity and Add with AI.

For more information, see Building and Managing Your Faculty Profile.

Note: View As currently supports Home and My Profile. Other areas, including Reports, Reviews, My Career, and Settings, are not available through View As. If you would like to see additional areas supported in future Faculty Success updates, we encourage you to submit your feature request in the Watermark Ideas Portal.

How to exit View As

Select End View as User Session in the banner at the top of the page to return to your administrator account.
