Courses Reporting

The Course Reporting feature allows you to automatically aggregate course sections into a single course-level report. The video below offers an overview of this feature, while this article guides you through the setup and usage of this feature, allowing you to efficiently manage and view aggregated data for multiple course sections.  

 

 

Note: We have updated the user interface since the creation of the video. However, the information in the video remains relevant, and this article provides more information about the feature.

Overview 

Course reporting helps you group multiple sections of a course into a single aggregated report. For example, if you have five course sections for a Biology 101 course, you can group the data from these sections into one course report based on the course identifiers you specify when you enable the feature. 

Within the "Course Section" tab of Project Results, you can see individual course sections. Following the example above, when the course reporting feature is not enabled you would see five separate course sections for Biology 101 as shown in the image below. When the course reporting feature is enabled, the system will automatically combine these individual course sections into a single aggregated report within a new "Course" tab in Project Results. This allows you to view comprehensive data for all the course sections. 

Prerequisites 

To use the course reporting feature, your course codes or unique identifiers must be standardized across all course sections. This standardization is essential for the system to aggregate the course sections appropriately. 

For example, the course code BIO100_01 consists of 6 static components (BIO100) and 2 variable components (01). When other courses follow this format, it will allow you to define the aggregation of these courses by "######_??" where hashtags (#) represent the static components while the question marks (?) represent the variable components that change by course section. 

If your course codes or unique IDs have varying character lengths or formats, the system will not be able to aggregate them accurately. For information on reporting non-standardized courses, refer to the "Handling Non-Standardized Courses" section of this article. 

Enabling and Configuring Course Reporting 

By default the course reporting feature is not enabled. Follow these steps to enable and configure the integration: 

  1.  Login to Course Evaluations & Surveys (CES) as a CES Administrator. 
  2. From the top Navigation Bar, go to Account.
  3. Select Results Settings within the "Reporting" category. 
  4. Click on the Course Results tab. 
  5. Enable the course reporting feature by checking the box by Enable Courses Reporting
  6. Define how the courses should be aggregated based on your Course Codes or Unique Identifiers. Keep in mind the following: 

    • Use hashtags (#) to represent the static components. 
    • Use question marks (?) for variable components (e.g. course section numbers). 
      For example, to define course sections that follow the standardized format of BIO101_01, you would enter fix hashtags (######) for the static components and two question marks (??) for the variable components representing the course section. This would result in defining course sections to be aggregated as "######_??"

      Note: You can also opt to include Course Title and Instructor information in reports. However, the course title must be consistent across all sections, and if there are multiple instructors, all will be listed in the report. 

  7. Click Save to finalize enabling the feature. The system will now aggregate the data for your courses based on the configured settings. 

Using the Course Reporting Feature

Once the feature is enabled, the "Course" tab will allow you to filter aggregated results for all course sections in Project Results. The system will automatically aggregate all course sections with the standardized portion of your course code or unique ID that you defined when enabling the course reporting feature. 

Handling Non-Standardized Courses

 If your course codes or unique identifiers are not standardized, you can still generate aggregated course section reports manually by following these steps: 

  1. From the top Navigation Bar, go to Results.
  2. Select Project Results
  3. Click on the title of a desired project you would like to generate the report for. Alternatively, you can utilize the fields within the "Search Projects" table to search for a particular project. 
  4. Once on the desired project, go to the Course Section tab. 
  5. In the course section tab, select multiple course sections you wish to aggregate by checking the box by them within the "Course Results" table. You may utilize the fields in the "Search Course Sections" table to search for particular course sections. 
  6. After selecting the desired course sections, click on Batch Report.
  7. A pop-up window will then appear from which you can enter and make the following selections: 
    1. Report Name: Enter a title for your report. 
    2. Report Type: Select a report type and Aggregate Data for Selected Items into One Report
  8. Click Go from the pop-up window and the system will begin to generate the report. 

While this manual process is available, the course reporting feature significantly streamlines aggregate reporting if your course codes and unique identifiers follow a standardize format.
