Sending a Field Experience Binder

Note(s): You must have an active Field Experience Template in order to send a Field Experience Binder.

Step 1: Select Template

  1. Click on Field Experience in the sidebar.
  2. Click the Send button.
  3. Select the template you want to send from those available.
  4. Click on Next.

Step 2: Select Course(s)

  1. Click Add button.
  2. Search for a course.
  3. Place a check mark next to the courses you want to send the Field Experience Binder for.
  4. Click Add.
  5. When you are finished searching, place a check mark next to all the courses you have added and click Next.

Step 3: Select Student(s)

Only students that have been placed using the placement template aligned with the Field Experience Template selected are displayed.

  1. Place a check mark next to the student(s) you wish to send the Field Experience Binder.
  2. Click Next.

Step 4: Review and Finish

  1. Name the Field Experience Binder.
  2. Select a Release Date for the field experience forms within this binder
    • NOTE: Release dates are DIFFERENT from due dates. Release dates are the dates on which Field Experience Forms will become editable for assessors. Upon each release date, site staff will receive an email containing a link that will take the assessor directly into the binder.
  3. Enter a Due Date using one of the options listed below Step 4 of this article. This is a due date for students–the date by which their binder must be submitted for assessment.
  4. You may select some advanced options by clicking the advanced options link.
    1. Select send now or choose a date in the future for sending this binder.
    2. You may choose to either personalize the email sent to the site staff or choose not to send an email at all.
    3. You may choose additional administrators. Additional administrators will have read only access to the sent binders.

  5. When you have entered all of the necessary information, click Send.

Note(s):

  • An email will be sent to the assessor containing a direct link the relevant binder on a form’s release date.
  • If more than one form becomes available on the same day, only one email will be sent for all forms.

Due Date Options

Enter a Due Date for the Entire Binder

  1. Select a due date by clicking the calendar icon and choosing the appropriate date from the calendar.
  2. Select a time by choosing from the drop-down options.
  3. Determine additional binder requirements:
    1. Enforce completion before submitting.
    2. Allow submission after due date.
    3. Hide Assessments from the students.
      1. NOTE: This option hides the entire Assessments tab that is otherwise built in to each binder so that students can see the feedback they received on assessment forms. While the binder template gives you the option to make some forms visible and others invisible to students, this option shows or hides the Assessments tab as whole.
    4. Allow students to submit after assessment has been submitted.
  4. Click Send.

Enter a Due Date for each Tab

  1. Select a due date for each tab by clicking on the calendar icon and choosing the appropriate date from the calendar,
  2. Select a time from the drop-down options.
  3. Choose whether or not to enforce student completion before submitting using the drop-down menu on the right.
  4. Choose whether or not to allow submission after the due date using the drop-down menu on the right.
  5. Determine additional binder requirements:
    1. Hide Assessments from the students.
      1. NOTE: This option hides the entire Assessments tab that is otherwise built into each binder so that students can see the feedback they received on assessment forms. While the binder template gives you the option to make some forms visible and others invisible to students, this option shows or hides the Assessments tab as whole.
    2. Allow students to submit after assessment has been submitted.
  6. Click Send.

Enter a Due Date for each Attachment

  1. Select a due date for each attachment by clicking on the calendar icon and choosing the appropriate date from the calendar.
  2. Select a time by choosing from the drop-down options.
  3. Choose whether or not to allow submission after the due date using the drop-down menu on the right.
  4. Determine additional binder requirements:
    1. Hide Assessments from the students.

    2. Allow students to submit after assessment has been submitted.
  5. Click Send.
