If your institution uses the Course Evaluations & Surveys (CES) and Faculty Success (FS) integration, CES reports from a Course Evaluation type project in CES are automatically attached to the Scheduled Teaching screen in Faculty Success. These reports are stored in the Evaluation File field (field code: UPLOAD_WM_COURSE_EVAL) for each instructor’s corresponding Scheduled Teaching record after a successful sync.
The integration connects courses between CES and Faculty Success using either Automated Matching or Custom Matching. When the sync completes successfully, one of the following CES report types is attached to the instructor’s Scheduled Teaching record as a PDF within the Evaluation File field:
- Instructor Detailed Report
- Instructor Detailed Report with Comments
- Instructor Short Report
- Instructor Short Report with Comments
Once attached, these CES reports can also be displayed in Faculty Success reports as File Links. This article explains how to include these file links in both Full-Service and Self-Service reports.
Note: For guidance on how CES reports are connected and attached to Faculty Success, see CES-FS Integration: Overview and Implementation Guide.
Before You Begin
Before adding CES reports as file links to Faculty Success reports, confirm the following:
- The CES-Faculty Success integration is fully implemented and you've completed at least one successful sync. For guidance on how to initiate a sync, see How to Initiate a Sync Between Course Evaluations & Surveys and Faculty Success.
- CES reports appear in the Evaluation File (UPLOAD_WM_COURSE_EVAL) field for corresponding Scheduled Teaching records.
- You have appropriate Faculty Success permissions to submit Work Requests. To learn more about these requests, visit Overview of Work Requests.
About File Links in Faculty Success Reports
Faculty Success reports can include file links that allow users to download stored files (such as CES reports) directly from within a report.
When a file link is added:
- A blue hyperlink appears for each stored document.
- Clicking the link downloads the file associated with that user’s record.
- Users must be logged in to Faculty Success and have appropriate security permissions to view or download files from file links. For more details on the permissions needed, see the Access to File Links section within this article.
Important: The content of stored files (for example, charts or images) cannot be embedded directly into a report body. Files are only available as downloadable file links.
Adding CES Reports to Full-Service Reports
If you would like CES reports to appear in a Full-Service report, a file link can be added that references the Evaluation File field.
To include a file link to CES reports in a Full-Service report:
- Submit a Report Revision Work Request from Faculty Success.
-
In your request, include the following details:
- The report name and purpose for the change.
- A note requesting that a file link be added to reference the Evaluation File field within the Scheduled Teaching activity screen.
- A mock-up report showing where the file link should appear in the report.
- Once the work request is processed, a file link for the CES report will appear in the designated section of the report.
To learn more about submitting a revision request and how to create a mock-up report, visit: Submitting Report Revision(s) Work Requests.
Adding CES Reports to Self-Service Reports
For Self-Service reports, a file link to CES Report can be included by modifying the citation style for the Scheduled Teaching activity screen.
To include a file link to a CES report in a Self-Service report:
- Submit a Report Revision Work Request.
-
In the work request, include
- The report name and purpose for the change.
- A note requesting that a file link be added to your specified citation style to reference the Evaluation File field within the Scheduled Teaching activity screen.
- A mock-up report showing where the file link should appear in the citation style within the report.
- After the work request is completed, a file link will automatically appear for the attached CES report when the Scheduled Teaching activity screen is added to your Self-Service report.
To update or create a citation style, submit a request following the guidance in this article: Requesting a New Report Citation.
Tip: If you already have a citation style in use, you can modify it to include the Evaluation File field rather than creating a new one..
Access to File Links
A user’s Faculty Success security assignment determines which file links they can access. Users must have an active Faculty Success session in their default browser to retrieve a file. If a user clicks a file link but is not logged in, they will be prompted to authenticate.
The following permissions grant access to File Links within Faculty Success Reports:
| Utility | Description of File Access |
|---|---|
| Manage Data | Grants access to files stored for users within their security scope (individuals, departments, colleges, or the entire campus). |
| File Download Role | Grants a user access to files stored for any user. For more information on this role, see Common Additional Security Roles. |
| Mirrored Files | Grants access to files depending on your institution’s configuration. To learn more, see Retrieving Files when Mirrored Files is in Place. |
