Modifying Course Codes to be Unique

To successfully connect courses between Course Evaluations & Surveys (CES) and Faculty Success (FS), each course must have a unique course code across terms and academic years. If you have courses that contain duplicate course codes, you will need to update them before initiating a sync through the Course Evaluation Management tool in FS.

Accessing and Updating Course Codes in CES

To modify the course codes in CES as a CES Administrator, follow these steps:

  1. Go to Surveys & Projects > Projects, then open your project.
  2. Navigate to the Courses tab.
  3. Click Export All Courses to download the Excel file.
  4. In the Excel file, find the Code column.
  5. Update the course codes in the Code column to be unique across terms and academic years. Keep in mind that it's crucial to not modify the unique ID of a course. The unique ID of a course cannot be modified as it may result in duplicate courses being created or data loss.
  6. Once the course codes are updated, save your file and return to your project in CES.
  7. Go to the Courses tab.
  8. Click Data Import.
  9. Select Excel.
  10. Choose Course File under Select Course File Type.

Once the file is uploaded to your project, you should see a green message confirming that it's being processed. The progress of the upload can then be tracked by clicking on the bell icon in the upper-right corner to go your Notifications in CES. Updating Course Codes in Faculty Success

After the course codes in your CES project are updated, export all your courses by repeating the earlier steps (steps 1 to 3) to retrieve a new Excel file with the modified course codes to use as a reference when updating the corresponding Scheduled Teaching records in FS with the same course codes from the project.
