How to Confirm your Sync was Successful

After completing a sync from the Course Evaluation Management tool, you can verify the outcome by downloading results. This report provides an Excel file with a detailed summary of the outcome of the sync, detailing which course evaluation files were able to be matched to a faculty's scheduled teaching record.

Downloading the Results Report

  1. From the navigation bar, go to Tools.
  2. Select Course Evaluation Management.
  3. Navigate to the History table.
  4. From the History table, locate the sync you want to review.
  5. Navigate to the Actions column for that sync, click on the downwards facing arrow to open the actions menu.
  6. Select Download Results from the actions menu.

An Excel file will download automatically to your device. This file contains the outcome of the sync.

Understanding the Results Report

The Results report includes the following columns:

  • Column A (fileName): The name of the CES report file that was attached to the UPLOAD_WM_COURSE_EVAL field of the faulty member's corresponding scheduled teaching record.
  • Column B (courseCode): The course code from CES used to match records in Faculty Success.
  • Column C (status): Displays Success if the CES report was successfully attached to the faculty member's scheduled teaching record. Displays Failure if the attachment was not successful.
  • Column D (message): If successful, this column shows the faculty member's Faculty Success username. If unsuccessful, it contains an error message indicating why the CES report could not be attached. See Troubleshooting Failed Syncs: Common Errors and Fixes for help addressing error messages.
  • Column E (inputFileName): Internal identifier
  • Column F (fieldCode): The field code where the CES report was attached to in the corresponding scheduled teaching record.
  • Column G (screenCode): The screen code of the activity screen where the CES report was attached.
  • Column H (timeStamp): The date and time when the CES report was attached.
  • Column I (recordId): The record ID of the scheduled teaching record where the CES report was attached. This value only appears if the sync was successful.

    Record ID is an internal key that uniquely identifies each record in the system. Record IDs can be retrieved by running an Export Data report and selecting Record and DSA IDs from the Data to Include parameter of your report within System Details.

  • Column J (emailAddress): The email address of the faculty member whose scheduled teaching records were processed during the sync.

The Results report provides a clear summary of which CES reports were successfully attached as a result of a sync. By reviewing this report, you can ensure that all scheduled teaching records were updated as expected and identify any that require further action.
