The Course Evaluation & Surveys (CES) and Faculty Success (FS) integration allows your campus to attach CES reports from a Course Evaluation type project in CES to corresponding Scheduled Teaching records in FS. This integration connects courses between CES and FS using one of the following methods:
- Default Matching
- Custom Matching
- CES Course Code
- CES Unique Course ID
For all methods, courses are matched to instructors by their email address.
Supported CES Reports
This integration supports syncing the following CES reports:
- Instructor Detailed Report
- Instructor Detailed Report With Comments
- Instructor Short Report
- Instructor Short Report With Comments
Once the integration is enabled, CES reports can be accessed within FS alongside other Scheduled Teaching data. These reports can also appear as file links within Full-Service Reports, this must be requested as outlined in How to Include CES Reports in your Faculty Success Reports.
Important Considerations
- Clearly understanding the data connection to match courses from CES to FS is essential for a successful implementation between the two systems. With this in mind, if different people are administrators for FS and CES they will need to coordinate data between the systems. If you have IT loading course data to Faculty Success, finding a way to also include Course Code could be crucial.
- Custom matching requires the course codes and unique IDs must be unique across terms and academic years. It is not possible to have the same course code for a course in the Fall and Spring semester. Both courses will need a unique course code for each semester, this helps the integration match the course between both systems.
- The integration only supports syncing for Course Evaluation type projects. For guidance on how to create this type of project, visit How to Create a Course Evaluation Project.
- Instructors must have access to reporting in CES. Ensure that there are no restrictions in the project's Report Setup tab and Account Results Settings preventing instructors access to reporting.
How Courses are Connected Between CES and FS
Courses in CES and FS are connected through the integration by matching users by email address, and courses using either the Default or a Custom Matching method.
User Account Matching
- For all matching methods, courses are matched to users based on the email address in both Course Evaluations & Surveys and Faculty Success.
Default Course Matching
- Course Evaluations & Surveys Course Code Formatting: For default matching, the course codes in the project use the format CoursePrefix-CourseNumber-SectionNumber.
- Faculty Success Scheduled Teaching Fields: For default matching, The fields of Course Prefix (COURSEPRE), Course Number (COURSENUM), and Section (SECTION) are automatically formatted as CoursePrefix-CourseNumber-SectionNumber to match courses to a matched user account.
- When performing a sync from the Course Evaluation Management tool in Faculty Success, the Term and Year selection is used to filter the Faculty Success Scheduled Teaching records that are returned for matching.
Custom Course Matching by Course Evaluations & Surveys (CES)
- Custom course matching requires additional data be loaded to your Scheduled Teaching records in Faculty Success in the form of either the CES Course Code or CES Unique ID.
- Course Code: The CES Course Code (EK_COURSE_CODE) field in Faculty Success must be uploaded with the CourseCode values used in the CES project.
- Unique ID: The CES Unique Course ID (EK_UNIQUE_ID) field in Faculty Success must be uploaded with the UniqueID values used in the CES project.
- If the CES Course Code and CES Unique ID fields are both blank for a course, the system will use Default Course Matching.
- Term and Year will not be used as a filter during the Course Evaluation Management tool sync of evaluations from CES to FS. As a result, each course CourseCode or UniqueID must be unique across all projects and courses.

Expected Workflow of the CES - FS Integration
Once the integration is enabled, you can expect the following to be your workflow.
- Determine the method you will be using to connect your courses between both systems (Default or Custom Matching).
- Await for your Course Evaluation type project in CES to end. Once it has ended, ensure that reporting is a available to instructors and Scheduled Teaching records have been created in FS for the term and academic year corresponding to the CES project.
For example, if your CES project gathered evaluations for Fall 2025, you must have Scheduled Teaching records created for Fall 2025 in FS. You can use the Export Raw Data report to review existing records in FS. If records are missing, create them in bulk using CSV Data Imports. Ensure that records follow the required format for the method you will be connecting courses by. - Initiate the sync in FS using the Course Evaluation Management tool. For details about the sync process, see How to Initiate a Sync Between Course Evaluations & Surveys and Faculty Success.
- Once the sync is complete, CES reports will attach the CES reports as PDF files into the corresponding Scheduled Teaching records. Specifically, the reports will be attached to the UPLOAD_WM_COURSE_EVAL field in the Scheduled Teaching activity screen. A sync can be confirmed to be successful by following the steps outlined in How to Confirm your Sync was Successful or troubleshooted following the guide in Troubleshooting Failed Syncs: Common Errors and Fixes. Syncs can also be rolled back at anytime if necessary.
Important: Only one sync can be initiated at a time, it is strongly recommended to not run multiple concurrent syncs. If multiple syncs are detected for an institution, they might be ended without prior notice.
Implementation Requirements and Setup Changes
Before requesting to enable the integration, consider the following requirements that will need to be met:
- Your campus uses both CES and FS to manage course and instructor data.
- Instructor email addresses must match exactly in both systems.
- You've selected a course matching method (Default or Custom Matching).
- Course data is captured in the Scheduled Teaching (SCHTEACH) activity screen in FS.
- Primary Key requirements:
- For Default Matching, the Scheduled Teaching primary key must consist of the following fields: TYT_TERM, TYY_TERM, COURSEPRE, COURSENUM, and SECTION. These fields will be locked as part of the integration setup.
- For Custom Matching, a custom primary key is supported. Institutions using this method do not need to modify their SCHTEACH primary key configuration. CES courses are instead connected using the EK_COURSE_CODE or EK_UNIQUE_ID field.
Required Setup Changes in FS
Once you're ready to enable the integration, the following changes will be made to the SCHTEACH activity screen in FS:
- The following fields in the SCHTEACH screen will be locked: These fields are TYT_TERM, TYY_TERM, COURSEPRE, COURSENUM, and SECTION.
- A locked file upload field will be added to the SCHTEACH screen. This field will have the field code: UPLOAD_WM_COURSE_EVAL. This field will store the CES report for the relevant course.
How to Implement the CES-FS Integration
To start the implementation, your institution's FS Administrator must submit a General Work Request that includes:
- Your preferred course matching method
- Default Matching
- Custom Course Code Matching (This adds a new field EK_COURSE_CODE)
- Unique ID Matching (This adds a new field EK_UNIQUE_ID)
- Confirmation on whether the integration should be set up using your CES Master Account or Sub-Account, if applicable. The integration can only be set up to one.
- Agreement to the required setup changes to the SCHTEACH screen.
