Assigning users to a Self-Study

Individuals working in Planning & Self Study can be added to a Self-Study report as:

  • a Self-Study Administrator
  • a Narrative Contributor
  • Assignee to Evidence Files

Self-Study Administrators have greater control over managing evidence within the Self-Study, and can also assign other users as Narrative Contributors throughout the Self-Study. Only individuals who are involved in the administrative task of collecting data for the Self-Study should be made a Self-Study Administrator.

Note: Any user who has the Administrator role in Planning & Self Study, AND who is aligned to the top-institutional level of the hierarchy in System Administration will automatically be added as a Self-Study Administrator upon the creation of the Self-Study.

 

A Narrative Contributor is given access only to contribute content to the specific standard(s) to which they have been assigned. All users who are expected to contribute to the Self-Study but who are not expected to manage the collection of data on an administrative level should be assigned as Narrative Contributors.

 

An Assignee to evidence files is someone that is responsible for uploading new versions of the document. This user is not added to any links or planning reports, just to the specific piece of evidence within the self-study. 

 

Assigning a Self-Study Administrator

  • Enter the Accreditation Self-Studies module.
  • Click on the name of the Self-Study.
  • Select the "Overview" item from the left-hand menu. This is the top-level item of the Self-Study structure.
  • Within the "Details" box of the "Overview" item, the current Self-Study Administrators will be listed (see note above about top-level administrators who are automatically added upon creation of Self-Study).
  • Click on the name(s) of the current Self-Study Administrators. The self‑study welcome page showing the Details section with the last updated date, the Self‑Study Administrator link labeled Michael Fiacco, and a Manage Evidence button.
  • This will produce a pop-up box from in which other current Planning & Self Study users can be selected. Once the selections are made, select the "Apply" button in the bottom-right corner.

Assigning a Narrative Contributor

  • Enter the Accreditation Self-Studies module.
  • Click on the name of the Self-Study.

  • In the "Details" box on the right, any current Narrative Contributors for this standard will be listed. If none are yet assigned, the link will read "Add Contributors". If any are assigned, their name(s) will be listed here instead.

  • This will produce a pop-up box from in which current Planning & Self Study users can be selected. Once the selections are made, select the "Apply" button in the bottom-right corner.
  • If the user requires access to multiple standards, this process will need to be repeated for each individual standard.

 

Adding an Assignee

  • Enter the Accreditation Self-Studies module.
  • Click on the name of the Self-Study.
  • From the left-hand menu, select Overview.
  • Click Manage Evidence.
  • Next to a piece of evidence, the Assignee column will be displayed.
  • If no one is assigned, click Add Assignee. If there is a name listed under Assignee, click the name to re-assign the evidence.

  • After selecting an individual, click Save. 

 

Note: If notifications are enabled for the self-study module, the Contributors, Self-Study Administrators, and Assignees will get notified. To disable email notifications, click Admin> Notifications> Toggle off the email notifications under the self-study module.
