Results Monitoring allows CES Administrators and authorized Node Administrators with the Results Monitoring Admin role to track whether instructors and administrators have accessed project results in Course Evaluations & Surveys (CES).
After results access logging is enabled, administrators can use Results Monitoring to:
- See whether instructors and administrators have accessed results for a project.
- View when a user last accessed project results.
- Review which reports a user generated and downloaded.
- Filter results access by user, course, user type, viewing status, or date range.
- Email users who have or have not viewed their results.
Important: Results Monitoring only tracks results access after the applicable results access logging setting is enabled in Monitoring Settings. Results access that occurred before the setting was enabled is not captured retroactively.

Grant Node Administrators Access to Results Monitoring
CES Administrators can grant Node Administrators access to Results Monitoring by assigning them the Results Monitoring Admin role.

Enable Results Monitoring
Results access logging is disabled by default. Before Results Monitoring can track whether instructors or administrators have accessed project results, a CES Administrator must enable the applicable results access logging setting.
To enable results access logging:
- Log in to Course Evaluations & Surveys (CES) as a CES Administrator.
- From the top navigation bar, select Account.
- Under Monitoring, select Settings to open Monitoring Settings.
- Enable one or both of the following settings, depending on whose results access you want to track:
- Enable Instructor Result Access Logging: Tracks instructors' access to project results.
- Enable Administrator Result Access Logging: Tracks administrators' access to project results.
- Select Save.
The date and time displayed under Last Update indicate when Monitoring Settings were last modified.
What happens after results access logging is enabled?
Once the applicable setting is enabled, Results Monitoring begins tracking results access for instructors and/or administrators.
Results Monitoring does not capture results access that occurred before the applicable setting was enabled. For example, if an instructor accessed their results before Enable Instructor Result Access Logging was enabled, that activity will not appear in Results Monitoring.
Access Results Monitoring
How you access Results Monitoring depends on your administrator type:
- CES Administrators can access Results Monitoring from Account > Monitoring > Results or from the Results Access Monitor dashboard widget.
- Node Administrators with the Results Monitoring Admin role can access Results Monitoring from the Results Access Monitor dashboard widget.
More information on how administrators can access results monitoring can be found in the following two sections.
CES Administrator Access to Results Monitoring
To access Results Monitoring from the top navigation bar:
- Select Account.
- Under Monitoring, select Results.
The Results Monitor page opens. From this page, CES Administrators can search for projects and open a project's Project Results Monitor to review results access.
Search and Filter Projects
On the Results Monitor page, CES Administrators can use the Search Projects area to locate projects. You can search or filter using the following fields:
- Project Name: Search for a specific project by name.
- First and/or Last Name: Find projects associated with a specific instructor or administrator.
- Username: Search using an instructor's or administrator's username.
- Email: Search using an instructor's or administrator's email address.
- User Type: Filter by Instructor or Administrator.
- Course Unique ID: Search using a course's unique ID.
- Has Viewed: Select Yes, No, or Any based on whether project results have been viewed.
- Date range where viewed: Filter based on when project results were viewed.
Select a project to open its Project Results Monitor.
Node Administrator Access to Results Monitoring
Node Administrators access Results Monitoring from the Results Access Monitor widget on their CES dashboard. Before a Node Administrator can use the widget, a CES Administrator must:
- Assign the Node Administrator the Results Monitoring Admin role.
- Add the Results Access Monitor widget to the Node Administrator's dashboard using the Manage Dashboard tool.
Once the widget is available, the Node Administrator can select a project title in the widget to open the project's Project Results Monitor and review results access.
Tip: The Results Access Monitor widget can also be added to a CES Administrator's dashboard for direct access to Results Monitoring.
View Results Access for a Project
When you open a project in Results Monitoring, the Project Results Monitor displays summary information about results access for the project's instructors and administrators.
The summary shows the percentage and number of instructors and administrators who have viewed the project's results:
- Overall
- Within the last 24 hours
Below the summary, the Users table lists the instructors and administrators associated with the project.
Search and Filter Users
Use the fields in the Search area to locate users or filter the results access information displayed for the project.
You can search or filter using the following fields:
- First and/or Last Name: Locate a specific instructor or administrator.
- Username: Search for a user by username.
- Email: Search for a user by email address.
- User Type: Filter by Instructor or Administrator.
- Course Unique ID: Search using a course's unique ID.
- Has Viewed: Select Yes, No, or Any based on whether the user has viewed the project's results.
- Date range where viewed: Filter users based on when they viewed the project's results.
You can also select a column header in the Users table to sort the displayed information in ascending or descending order.
Review a User's Results Access
The Users table also includes the Last Viewed and View columns, which provide additional information about a user's results access.
- Last Viewed: Displays the most recent date and time the user generated and downloaded a report from CES to view the project's results.
- View: If the user has viewed the project's results, a magnifying glass icon appears in this column. Select the icon to open the user's results access log. The log shows when the user viewed the project's results and which report the user generated and downloaded.
Note: Results Monitoring only captures activity that occurs after the applicable results access logging setting is enabled. If a user accessed project results before the setting was enabled, that activity will not appear in Results Monitoring.
Email Users from Results Monitoring
From the Project Results Monitor, administrators can email instructors and administrators based on whether they have viewed their project results. For example, you can filter for users who have not viewed their results and send them a reminder to do so.
To email users:
- In the Users table, select the checkbox next to each user you want to email.
- Select Email Selected Users.
- In the email window, complete the following fields:
- Subject: Enter the subject of the communication.
- Message: Enter the email message.
- Review the message, and then send the communication.
