DRF Program Enrollment; How to Enroll (and Unenroll) Students, Evaluators, Managers

As a TS Coordinator, you can enroll users into a DRF program manually through the specific DRF program, or you can enroll a user into multiple DRF programs.

 

How to Manually Enroll a User into a Specific DRF Program


1: Click TS Coordinator, then DRF Programs.

2. On the following screen, select the DRF name. 

3: Click the Enrollment tab.

4: This will show a list of currently enrolled participants. At the top of the list, you will find an "Enroll Individual Participants" heading. To the right will be icons for each of the four DRF roles.

5: To enroll an Author, Reviewer, or Evaluator, select the relevant icon. The member locator window will pop up. You can either search for the individual by name or utilize the folders to the left to find individuals within the structure of your organization or through the enrollment from other programs.

You can also select multiple individuals. After searching for the intended individual, select the check-box next to their name and hit Continue.

6: To enroll Managers, click Managers, then click Assign New Managers and Launch Member Locator.

The member locator window will pop up. You can either search for the individual by name or use the folders to the left to find individuals within the structure of your organization or by other DRF programs. After searching for the individual, select the check-box next to their name and click Save and Close.

This will take you back to the previous screen, where you will be able to select check-boxes for the different Evaluation Manager permissions you can assign. Once you select the intended permissions, click Assign Selected Permissions.

Note: If you would like to assign this individual with the two right-most permissions, he or she must first be assigned TS Coordinator permissions. You can send an email to support@watermarkinsights.com to have our Support Team assign this permission. 

 

How to Enroll a Specific User into Multiple DRF Programs

From the DRF program main page,

1. Under All Programs, go to Or.. Search for a Participant, type a user's name and click Search.

2. A list of the user's currently enrolled programs will appear.

From this screen, you can change the enrollment for these programs by checking (or un-checking) the appropriate boxes and clicking Apply Changes.

3. To enroll this user into other programs, click the Find More Programs tab toward the the top right.

4. Next, either enter a specific program name, or click View All Programs. When viewing all programs, it may take a moment to load if your institution has numerous DRF programs.

5. After clicking View All Programs, the list of the school's DRF programs will appear. You can click roles  you'd like the user to have in multiple programs.  You can also check the Select All box next to a role such as "Program Setup" and/or "Generate Reports" for an individual in an administrator role.  Then click Apply Changes.

How to Un-Enroll (Remove) a Participant (Student, Evaluator, Manager)

To un-enroll the student and remove them from the program:

1: Click TS Coordinator, followed by DRF Programs.

2. On the following screen, select the DRF name. 

3: Click the Enrollment tab.

4. To the right of the Authors, Evaluators, and Managers button, click Unenroll.

5. Check the box next to the student's name and click Unenroll Participants.

6. Confirm that you would like to remove the student by clicking Ok.


Note: If the student has submitted work for evaluation, then the student cannot be un-enrolled until the student clicks "Cancel Submission." If student work has been evaluated, then the student cannot be un-enrolled from the program.
