Placement Management - Placement Statuses and Visibility

Placement Statuses

Placement statuses have been introduced and will control the visibility of the placement. When a student is enrolled in an internship-enabled course section, the placement will be displayed with one of the following statuses:

  1. Not Started

    The initial status of a placement before any information is assigned.

  2. Draft

    Once placement details have been added, the status will switch to Draft. This saves the placement information, but the placement will not be visible to the student or any assigned mentor. These details can be edited at any time.

  3. Scheduled

    Allows placement coordinators to schedule the release of placements to students and assigned mentors at a future date and time.

    To schedule a placement:

    1. Open the placement details by clicking the student's name in the dashboard table.
    2. Select Schedule from the menu on the left.

    3. In the flyout menu, add the date and time you want the placement to be published and click Schedule. The placement will become visible to the student and assigned mentor at the scheduled time, and any enabled notifications will be sent.

    4. The placement will now show in the dashboard table with a Scheduled status.

    5. To edit a schedule, open the placement details and select the menu button next to the publishing schedule to edit or delete it.The Placement Overview section showing term, course, section, placement ID, and publishing schedule with scheduled date and time.   4. Published

    When a placement is published, either immediately or via the schedule, it becomes visible to students and mentors, and associated activities are sent out.

    To publish a placement:

    1. Open the placement details for a placement with a Draft or Scheduled status.
    2. On the left side of the page, select Publish Now.

    3. A confirmation message will appear. Select Publish Now to finalize. This action cannot be undone.
    4. Published placements will appear in the table with a Published status.

Additional Sort and Filter Options

Additional filtering options have been added to the placement dashboard table to help you find specific placements.

The filter options above the placement dashboard table, including a search bar, and dropdowns for Term, Status, Organizations, Courses, and Section.

  • Search bar: Searches for placements by student name, email, or Placement ID.
  • Term: Filters placements by the associated academic term.
  • Statuses: Filters by placement status (Not Started, Draft, Scheduled, or Published).
  • Organizations: Filters by program or department.
  • Courses: Filters placements by course. This dropdown will only display courses related to a selected Organization.
  • Section: Filters placements by section. This dropdown will only display sections related to a selected Organization or Course.
  • Save Filtered View: The dropdown selections can be saved and will auto-populate the next time you return to this page.
