Placement Management - Partner Sites

Under the Partner Sites tab, a field placement coordinator manages the sites, districts, and the respective contacts for an institution. The field placement coordinator will use this feature to create a partner site by either using the NCES database or creating it manually and add site/district contacts for these sites.

Searching, Filtering, and Adding Sites and Districts 

The partner sites and contacts can be found on the “Partner Sites” tab.

The first page displayed is the site’s Districts and their contacts. This is a list of all the sites and districts added to the institution's database. If no site or district has been added, help text will be displayed to guide the user to the Add Partner Sites page.

Adding a Partner Site 

To add a partner site, click on the “Add PARTNER SITE” button. A modal gets displayed on the screen with two options. The field placement coordinator has the ability to create a partner site using the NCES Database or manually.

When initially setting up partner sites and contacts, we recommend a search by State, County, or District. This will allow the field placement coordinator to add all the sites in a particular county or district in one step.

The field placement coordinator can add any site that the institution may possibly work with. For example, if students are placed within the Stratford School District, filter by that district and add all sites in the district. By doing so, this ensures that the field placement coordinator is able to view, sort, and filter for any possible site later in the placement process.

After some time, a site may need to be added one at a time. In that case, the field placement coordinator can search by site name.

Once the field placement coordinator has selected the desired sites, clicking on “Add” will add them to the database and make them available for possible placement.

 

Add a Partner Site Manually 

There will be some cases where a site does not show up in the NCES database. In that case, the field placement coordinator can add it manually. Any site which is not tracked by the U.S. Department of Education will need to be added manually. To manually record a site, enter the name or the address of the desired location.

Once the desired site is identified, the field placement coordinator can add additional site details.

While adding additional details, classify the site as Educator Prep or Other Programs. If the field placement coordinator chooses to create an Educator Prep type Partner Site, then further options will be displayed on the screen allowing additional details about the educator prep type of site to be captured including:

  1. Grade Levels
  2. Title 1 Status
  3. School Type
  4. Charter
  5. Magnet
  6. Geographic Locale

Student Demographic Information may also be added if it is known including the numbers of students in each ethnicity category and the percentage of students who qualify for free or reduced-price lunches.

Add a Site District:

After adding the site address, site districts are automatically suggested. The field placement coordinator can select any one of them to associate with the manually added education prep site. Alternatively, the field placement coordinator can create a district manually to align with the site.

Provide a district name and an optional district ID.

Once the field placement coordinator has added all the details, the partner site can be saved by clicking on the “SAVE” button, which will add the site to the database and make it available for possible placement.

 

Viewing and Managing Partner Sites 

Once partner sites and districts have been added, the field placement coordinator can manage the database by searching for a site or filtering by county or district.

Note: The “Other Programs” type partner site will be listed under Unaffiliated Sites



Viewing and Managing District and Site Contacts:

 

To view the district contact information, the field placement coordinator clicks on the “Contact Information” link, a flyout is displayed on the screen with the district contact information cards and new contact can be added using the add new “ADD NEW CONTACT” button.

To view the site contact information, the field placement coordinator expands the district accordion to view the associated site and clicks on the partner site name, a new window will open with the site details.

In addition to adding contact at the site level, the field placement coordinator can view site details that are coming from the NCES database or that were entered manually.

To view the site details, the field placement coordinator clicks on the “Contact Information” button available on the header. A flyout is displayed with the site contact information card. Using the flyout, the field placement coordinator can edit an existing contact, delete a contact, or add a new site contact.

EXPORT SITES:

Using the Partner Sites tab, the field placement coordinator can download a spreadsheet that will include all the information about the institution’s sites.

Steps to export the sites CSV:

1. Click on the “EXPORT SITES” button, available on the partner sites tab page.25.jpg

 

2. A modal will be displayed. To create the export file, the field placement coordinator clicks the “GENERATE CSV FILE” button.

3. A modal will be displayed on the screen to show the generation progress. Let the file get generated. It may take some time depending on the file's size.

4. Once the file is ready to be downloaded, it will be displayed on the modal. The field placement coordinator can click the “DOWNLOAD CSV FILE” button to download the zip file to their download file.
