Downloading Submissions in Bulk

If your institution has granted the ability to download submission contents, Workflow Administrators and users with the appropriate permission level for the Submission Table may download submission content by individual or in bulk within their purview by following the steps outlined below: 

  1. Navigate to the Submission Table by accessing the Workflow utility and choosing "Submissions."

  2. Upon selecting "Submissions" in the Workflow utility, you will be directed to the Submission Table, where you can view all open submissions by default. You have the option to filter and sort the submission table to display only the desired submissions or specific candidates for your bulk download. Once you have applied the necessary filters, click the "Bulk Download" button located at the upper-right corner of the Submission Table to initiate the bulk download process for the selected submission contents.

When you click the "Bulk Download" button to initiate the process, a small window will appear that informs you of the number of files you are about to download and allows you to choose one of the two following listed file formats:

  • Each submission contains links to stored files:
    This option is similar to "Download submission for online viewing," in that it downloads an HTML link to how the submission appears to you.
  • Each submission in a file folder with copies of stored files included:
    A zip file of each submission will be provided, similar to "Download submission with files to my computer."

After selecting the file format, click the "Download" button to receive an email with a download link. Please allow enough time for the system to compile the download for you as bulk download with a large number of submissions will require more time. 

Note: To enable the ability to download submission contents, the Faculty Success Administrator of your institution must request this via submit a General Work Request.
