A Student's Program is Missing or Incorrect

Overview

The most common reason students do not display correct program/degree information on their Student Header is that this data is either missing or incorrect in the Transcript data feed.

  • The program data displayed on the Student Header is imported on the SIS Transcript data feed.
  • The program data displayed on the Student Programs Tab is imported on both the Transcript data feed and the SIS Person Degree Program data feed.
      • Primary and Secondary Degree Program information is imported on the Transcript data feed.
      • Program History is imported on the Person Degree Program data feed.

The Academic Plan and Student Filter program data also use the Primary Program and Primary Degree information imported on the Transcript data feed ("primaryDegreeProgramId").

Student Header Program Data is Missing or Incorrect

If Program data is missing from the Student Header, download the transcript.json data extract from the Datafeeds menu and then search by the person ID.

  1. In order to fix missing or mismatched data, the first step is to identify the source of the missing/incorrect data. To learn more about SIS Integration troubleshooting, click here.
  2. From the above troubleshooting instructions, download the transcript.json data extract from the SIS Integration Administration Datafeeds menu and then verify the "missing/mismatched" program searching by the student ID. Check their primary degree and primary program data (primaryDegreeProgramId) imported on the Transcript data feed from the SIS.
      • Searching by Person Id, whatever primary program degree value imports from the SIS on the Transcript data feed is what displays on the student header, student filters and academic plan.
      • If the Person ID is not found in the Transcript data extract, copy the person Id to the Institution Person Id on the Person Imported Data View in order to find the corresponding Person src system Id. Then use the Person src system Id to find the person's Transcript record.
      • Search the Degree Program Imported Data View to find the primary degree and program data.
      • For instructions on how to view Json files in a user-friendly format, click here.
  3. Once confirmed that the Program data is either missing from the Transcript data extract or included in the Transcript Json file yet unable to import due to an import error or missing Degree Program data that cannot be resolved, this must be resolved in the SIS/SQL Views/Informer Data extract definitions.
    • Once resolved, as soon as the correct primary Program data is included in the Transcript data extract, the missing data can import successfully to display in SS&E.
    • If there are no import errors and the missing data is included in the Transcript/Degree Program data extracts, please open a Support ticket including all findings so that we can further assist.

Program Tab Program Data is Missing or Incorrect

If Program data is missing from the Student Programs tab, download the personDegreeProgram.json data extract from the Datafeeds menu and then search by the person ID.

  • If the Person Degree Program data extract does not include the missing program tab data this explains why it is not displayed in SS&E.
      • To fix this, it must be included in the Person Degree Program data imported from the SIS.
  • If the Person Degree Program data extract includes the missing data, check for Import Errors on any data feed that is blocking the data and preventing it from importing into SS&E. If any import errors exist, they must first be resolved. If there are no import errors yet the data is not displayed on the Student Programs tab, please open a Support ticket including all findings.

Additional Notes

In rare cases, the data in the Json file is correct, yet SS&E does not display the same data found in the data extract on the UI. When this happens, the first place to check is the Import Errors screen to search for anything preventing the SIS Import from importing data included in the data extract into SS&E. If found, Import Errors must be resolved so that data imports into SS&E successfully.

  • If the data extract (transcript.json/personDegreeProgram.json) includes the missing data and there are no import errors, please open a ticket with SS&E Support.

In most cases, the reason that data is missing or mismatched in SS&E is that the data extract does not include the correct data. In order to fix this, the data extract definitions and the SIS/Informer/Direct Queries/CSV output must be fixed in order to include the correct data so that it displays on the UI.
