Midterm Grade Alert

Overview

The Midterm Grade Alert identifies students who have a low midterm grade based on configured values.

The alert can be configured to handle a variety of grades, or can be configured for only a specific grade.  This allows you to tailor these alerts to fit your specific needs, for example, you may want one alert to go if a student has a midterm grade of C or D and a different alert if the student has an F.  You could even generate a positive alert if a student has a high midterm grade.

Criteria to Generate the Midterm Grade Alert

  1. In-progress course sections.
  2. Student has current registrations in the course sections.
  3. A midterm grade is populated.
  4. No final grade exists.
  5. Student has a primary program of study defined on the Transcript data feed.
  6. Person has the Student role.
  7. Person has not previously received this midterm grade alert for the registration. Each instance of a midterm grade alert operates independently of the others. A single enrollment may receive multiple midterm grade alerts, but will not receive multiple of the same midterm grade alert.

Type

Alert type of this alert. Will be "Midterm Grade".

Name

Name of the alert

Description

Internal, administrator only, description of the alert.

Active

Whether the alert is active. An active alert is shown in SS&E and is able to be selected on the Settings screen by users in order to receive notifications of this alert type.

Staff UI Text

The template text that will be used on the news feed, in the daily digest email, and on the student's profile. This text is copied from the default text setup for this alert type.

Staff Roles

The roles that can view and opt in to being notified of the alert. This is done in a user's Settings area.

Notify Students

Whether to notify the student, by email, when the alert is awarded.

Student Email Subject

The subject text for the email to be sent to the student

Student Email Body

The body text for the email to be sent to the student. The following variables may be used in the body of the email text:

  • ${transcriptCourse.courseSection.course.name} - Course name
  • ${transcriptCourse.courseSection.course.code} - Course Code
  • ${courseName} - Course Name
  • ${courseCode} - Course Code
  • ${midtermGrade} - Midterm Grade
  • ${advisor.fullName} - Advisor Full Name
  • ${coach.fullName} - Coach Full Name
  • ${student.fullName} - Student Full Name
  • ${instructor.fullName} - Instructor Full Name

Grade values that will trigger the alert

A multi-select list populated by the Grades table. If a student has a midterm grade equal to one of these values, the alert will be triggered. 
Note that the midterm grade must exactly match a selected grade. For example, if 'C' is in the list and the student receives a 'C-', the alert will NOT be generated.  If a grade you want to select is not in the list, you may add the missing grade to the Academic Planning Administration Grades table.

Included Courses

The courses this alert will run for. If this value is empty, no filtering on courses will occur.

Excluded Courses

The courses to exclude from this alert.

Included Course Sections

The course sections this alert will run for. If this is empty, no filtering on course sections will occur.

Excluded Course Sections

The course sections to exclude from this alert.

Included Programs

The programs this alert will run for. If this is empty, no filtering by program will occur and all programs are eligible.

Excluded Programs

The programs to excluded from this alert.

Included Course Locations

The course section locations this alert will run for. If this value is empty, no filtering on course section locations will occur. This value maps to the location of the course section.

Excluded Course Locations

The course section locations to exclude from this alert.
