Appointments and Reviewers Report

The Appointments and Reviewers Report allows Workflow Administrators to verify how a candidate’s submission will route through a workflow process based on their appointment information. This report can be run before or after a submission is launched.

Overview

The Appointments and Reviewers Report shows appointment details linked to candidate submissions in a Workflow schedule.

Workflow Administrators can use this report to review candidate appointment data, like College/School and Department, to ensure candidate appointments show as expected for their submission. Comparing this with the reviewer role groups in the workflow schedule helps identify which reviewers will likely receive the submission.

Important: The Appointments and Reviewers Report does not list individual reviewers assigned to a candidate's submission. Instead, it displays the candidates appointment data used for workflow routing. Administrators must compare the candidate’s appointment fields with the reviewer role groups configured in the workflow schedule to determine which reviewers will receive the submission.

When to Use This Report

Workflow Administrators use the Appointments and Reviewers Report to:

  • Verify candidate appointment details in a workflow schedule.
  • Confirm candidate submissions match the correct college/school, department, or other appointment detail.
  • Understand submission routing based on reviewer roles.
  • Address routing questions during the review process.

Who Can Run the Report

The Appointments and Reviewers Report can only be downloaded by Workflow Administrators.

The report becomes available after the workflow schedule has been successfully Confirmed. If the schedule requires edits after confirmation, Workflow Administrators can terminate the schedule from the Actions menu in the Actions column. Once the necessary changes are made, the schedule can be confirmed again.

How to Retrieve the Report

The Appointments and Reviewers Report can be downloaded after the workflow schedule has been Confirmed.

To download the Appointments and Reviewers Report:

  • Navigate to Workflow from the navigation bar.
  • Select Configuration.
  • Locate the Workflow Schedule for which you want to generate the report.
  • Open the schedule and navigate to the Schedule Configuration tab.
  • Click on the Appointments and Reviewers button within the Candidates for Review area.

  • The system will begin generating the report.

Understanding the Report

The Appointments and Reviewers Report displays candidate submission information along with the appointment data associated with each candidate.

Each row in the report represents a candidate submission and includes the following information.

Candidate Information

  • Column A (Candidate Name): The name of the candidate associated with the submission.
  • Column B (Candidate Username): The candidate’s username in Faculty Success.

Submission Information

  • Column C (Submission Status): The current status of the submission (for example, Not Started, Open, or Completed).
  • Column D (Submission Cancel Date): The date the submission was cancelled, if applicable.

Workflow Administrators can review the submission status to monitor candidate activity in the workflow process. To learn more about submission statuses, see Monitoring the Status of Workflow Submissions.

Appointment Information

  • Column E (College/School 1): The candidate’s primary College or School affiliation.
  • Column F (College/School 2): Displays an additional College or School affiliation if the candidate has a joint appointment.
  • Column G (Department 1): The candidate’s primary Department affiliation.
  • Column H (Department 2): Displays an additional Department affiliation if the candidate has a joint appointment.

If a candidate has a joint appointment, additional columns appear in the report to display the additional College/School or Department values. These additional columns will follow the same order (e.g. College/School 3, College/School 4, Department 3, etc.) To learn more, refer to Configuring a Schedule for Joint Appointments

Workflow Administrators can compare the appointment information presented in the report with the reviewer role groups configured in the workflow schedule. Reviewers who are aligned with the same appointment values, as well as the correct type and scope for their step(s), will receive the candidate’s submission during the review process.

Note: Your institution may use customized fields to capture appointment data. Refer to the Configuration Report to review how appointment fields are configured at your institution.

Workflow Administrators can review the appointment information presented in the Appointments and Reviewers report and compare it with the reviewer role groups configured in the workflow schedule.

 Reviewers aligned with the same appointment values may receive the candidate’s submission during the review process.
