Course Import File Guidelines

Institutional Administrators use course imports to create master shells for individual sections. Within a master shell course, you can find all time-bound instances of that course, such as EDU 101 Fall 2020, along with a student roster.

File Requirements

  • File Format: The import process supports files saved as a .csv UTF-8.
  • File Extension: All files must have the correct file extension.

Course Import Fields

Courses only need to be imported once unless new course offerings are created. The necessary information for the course import can be found in your Student Information System or Course Management System.

All fields listed below must be included in the header row of your import file. While the sample file provides a specific field order, you can upload the fields in any order. Optional fields can be left blank or removed from the spreadsheet.

Course ID

  • Explanation: This is a **required** and unique alphanumeric identifier for each course, with a maximum length of 50 characters. It's recommended to match the Course Code if the SIS does not have a value.
  • Example: 38661.
  • Note: The Course ID must be unique within the system.

Node Name

  • Explanation: This **required** field determines the level of the hierarchy where the course will be located. It's a case-sensitive, alphanumeric field with a maximum length of 50 characters.
  • Example: Department of Education.
  • Note: The Node Name must match an existing hierarchy node.

Name

  • Explanation: This is the name of the course. It is a **required**, case-sensitive, alphanumeric field with a maximum length of 50 characters.
  • Example: Introduction to Education.
  • Note: The course name must be unique within the system.

Category

  • Explanation: This **required** field defines the course type. Importing a course with the category "internship" will automatically enable features like time logs and mentor notifications. Courses with the categories "group" or "course" will not have these features enabled by default, but they can be enabled later at the section level.
  • Accepted Values:
    • course
    • group
    • internship

Code

  • Explanation: This is the institutional code or abbreviation for the course. It's a **required**, alphanumeric field with a maximum length of 50 characters.
  • Example: EDUC 101.
  • Note: The course code must be unique within the system.
