User Import

Overview: The classic SL&L User Import allows Institutional Administrators to create and manage user accounts for students, faculty, admins, and external users using CSV UTF-8 files. Required fields include User ID, Firstname, Lastname, Email, Role, and Password. Optional fields enable detailed reporting and include gender, major, race/ethnicity, academic program, test scores, and SSO integration IDs. Passwords must be set initially and changed on first login.

Student Learning & Licensure (SL&L) User Imports

Purpose: Institutional Administrators will create and manage accounts for all users. Account creation is required before SL&L Users can be placed in course sections. Administrators will use institutional ID and email accounts to establish accounts and will also designate the initial password for each account (SL&L will require a password change from each user on first login).

Accepted File Formats – The import supports the following file types:

*.csv UTF-8

All files must have the correct file extension.

User Import Fields

The User Import allows an administrator to create an SL&L account for an individual. This creates the ability for individuals to log in and also to tie an assessment to a specific user.

All fields must be in the header row of each upload. Optional fields may be left blank or removed from the spreadsheet. Fields can be uploaded in any order. Please note that completing the optional fields will enable the functional use of a correlated filter in your reports, allowing you to filter aggregated assessment results based on the populated criteria. Much of this information may be found in your human resources system, in the case of creating faculty/administrator accounts, or in your student information system, in the case of creating student accounts.

The sample file has the fields in the following order:

User ID

  • Explanation: Student / Faculty Institutional ID, unique identifier

    Note: User ID is the unique identifier for the user and is the reference value used to update the rest of the user’s information. It is recommended that this is the same value that appears in Student Information System. For users not part of the institution, the administrator can assign an ID using a value relevant to the user, such as the first part of their email address. User ID cannot include special characters, such as the @ symbol.

Firstname

  • Explanation: Account Owner’s First Name

Middlename

  • Explanation: Account Owner’s Middle Name

Role

  • Explanation: Role status determines the user’s account type

    Accepted Values:

    • faculty
    • admin
    • external

    Note: Role will determine the users’ privileges and user landing page when logging in to their SL&L account.
    Users with the student role can only be added to sections as a member.
    Users with the role of faculty can be added to sections as the instructor or be added to sections in the membership import. Deans, Department Chairs, faculty leaders or staff that need to see data or assist in setting up courses should be loaded as faculty. Their admin privilege can be given to them by the SL&L Administrators. This is initially done during training and can be updated as needed.
    Users with the admin role can import users, hierarchy, courses, sections and membership files. They will also be able to see all information in their College/School and assign out admin privileges to other users. Only the people administering SL&L should be given the role of admin.
    Users with the external role are used in SL&L's Field Experience. External users have limited access and cannot be added as the faculty of a course. They can be used in Internship sections as a member. These users do not work directly for the institution. These users are typically field supervisors, mentor teachers, etc.

Password

  • Explanation: Account Owner’s Password

    Note: This will be the password users will use their first time they login through sll.watermarkinsights.com. After the initial login, users will be prompted to change their password. This field is required even if users will be using SSO or if they will be logging in through their LMS. Passwords cannot be updated via subsequent data imports.

  • Explanation: Program or Area of study
    Example: Secondary Education, Engineering, or Nursing
    Field Type and Length: Alphanumeric, 50

Race/Ethnicity

  • Explanation: Account Owner’s Ethnicity
    Example: Hispanic or Latino

  • Explanation: Any string, intended to provide the ability to be more granular or specific about a user’s race or ethnicity

  • Explanation: Defines a user as a first generation student

  • Explanation: Defines a user as a transfer student

  • Explanation: Defines a user’s eligibility for Pell grants

  • Explanation: Defines a user’s first year of attendance
