When the Workflow process launches, tasks are created and await the attention of the candidates who will submit their materials for review. The candidate can access the Workflow task one in two ways:
The candidate can access the Workflow task by clicking the Submit Review Materials button or by clicking the hyperlink in the invitation email sent when the process was launched. The Workflow Administrator determines whether this email notification is sent, as well as the frequency of reminders based on the Schedule settings.
The candidate can log into Faculty Success, navigate to the Workflow Utility, and view their Workflow task within the Inbox table, which will list any available active tasks once they are launched. When the Joint Appointment type "Each appointment receives a separate step" is enabled, reviewers notice the appointment in parentheses for which their review is being collected for in the STEP column of the Workflow Inbox table.
A submission will remain available until one of the following occurs:
- The candidate or reviewer completed the step and submits it to the next step of the process
- The step is not completed by the due date, and the institution has configured the submission to automatically advance to the next step when the due date passes
- The submission is recalled by the previous step, or sent back from the current step
