Bulk Export via Google Drive

Taskstream AMS offers to option to export all workspace data via the Google Drive Transfer.

In order to perform this export, a user must have:

  • A Google email address
  • An AMS account with full administrator permissions

Once a Google email address is established, please Submit a Request to Watermark's Client Support and request for the email address to be safe-listed and associated with the administrator account that will be used.

Once the email address has been confirmed as safe-listed, the administrator can proceed to the instructions below.

To Export Workspace Data to Google Drive

Note: Please make sure pop-ups are enabled or allowed for this website.

Log in to the administrator account and click System Administrator.

Enter the Access Code and Password (If unsure, please contact support).

Scroll to the bottom of the System Administrator Home Page and click on Institutional File Export.

The Google Transfer page has two panels. Use the blue arrows on the left panel to view the full instructions. The table below the instructions will show information about the previous transfer (If a previous transfer has been done).

Once a transfer is started, it is possible to leave the page and come back at a later time. The transfer continues in the background even if the user doesn't remain on the page.

The Instructions table will show the transfer status.

To configure the transfer, use the checkboxes on the right and select the workspaces to include in the transfer.

Once the workspaces have been selected, click Confirm Selection.

If any changes need to be made, click Change Selection to modify the selected workspaces. If no changes need to be made, click Connect/Transfer To Your Google Drive to begin the transfer process.

A popup window will appear from Google asking to choose an account, or add an account.

Google may need to confirm the login credentials via a 2-step verification process.

Once you have connected to the Google account, the system will prompt a consent request screen. The system will ask for permission to create folders in the selected Google Drive account and for the ability to copy files to these new folders. In order to proceed, the user must grant permission.

If the login and consent is successful, the popup window will close and the transfer will begin. The user can monitor activity in the left pane. The current file being transferred will be displayed in italicized bold text.

The inner progress wheel displays the progress of the current file. The outside progress wheel measures the total progress of the transfer. Hovering over each wheel will display percent progress.

The transfer completes when the progress wheels are at 100% and the messages above the wheels describe the outcome. It’s possible that the transfer might encounter issues with individual files. In such a case, the other files will be transferred and the files that fail will be listed below the wheels.
