Creating Base Events for Career Pathways

This article will cover the process of creating Base Events in the Faculty Career Pathways module of Faculty Success, focusing on the administrator's perspective. Institutions with subscriptions to both Career Pathways and the Reviews, Promotion, and Tenure (otherwise known as Workflow) module will soon benefit from an integration that allows seamless transitions between career milestones and performance reviews. Updates will be provided in the Release Notes once this feature is available. 

What are Base Events? 

Base events are key milestones marking specific points in a faculty member's career, such as annual reviews, which occur each year for certain tracks. These type of events provide a structured framework for each academic career. They can be customized to suit various career paths, allowing for flexibility in requirements and documentation. However, the timing of base events needs to be consistent across different tracks in order to maintain a coherent career progression, otherwise separation of base events by career path will be necessary.

Steps to Set Up a Base Events 

  1. Creating a Base Event 

    • Click the "Create Event" button in the upper-right corner. 
    • Select "Base Event."
  2. Configure Your Event 

  • Title: Each Base Event must have a unique title. This title will be displayed on faculty timelines, so it's important to choose a clear and concise name. Any additional details that are not relevant to faculty, such as internal guidelines or specific requirements, should be added to the description field.
  • Review, Promotion, & Tenure Workflow Connection: To simplify the process of assigning candidates to reviews, we'll introduce Workflow Connections later in 2025. By linking Base Events to specific Workflow Template Types, we ensure that the correct Reviews, Promotion, and Tenure (Workflow) template is used for each candidate. This helps maintain consistency and accuracy.
  • Event Timing: Base events have two options when determining the event timing:
    • Fixed Date: Option to select a single date, such as “May 15th”, “September 21st”, etc.
    • Fixed Day in Month: Option to select a week within the month (First, Second, Third, or Fourth), Day of the week (Monday - Friday), and a Month (January - December).
  • Repeating Schedule: When toggled on, you can repeat events either by year(s) or by months. You can set the “ends” timing on a repeat event to:
    • Never
    • On a specific year (in the path)
    • After a specific number of occurrences
  • Description: Add internal notes and details about the event. This information is not visible to faculty and is solely for administrative purposes. Use it to track important information, such as specific requirements or guidelines.

Next Steps

After you've completed all the necessary settings for your Base Event, click "Save" to finalize the creation process. This will make the event accessible for use in faculty career paths.
