Overview
Advisor Coach Mapping allows a coach to get assigned to a student success team based on the student's primary advisor at the time the mapping is created/edited or when the student's primary advisor is assigned/updated (unless through Bulk Assignment in Relationships Administration).
- When an advisor-coach mapping exists any time that the student's Primary Advisor changes, their Primary Coach will also change.
- The exception is assigning an advisor via Bulk Assignments.
- Advisor-Coach mapping will overwrite a coach assigned by any method.
How does this happen?
- As soon as you save a new or modified Advisor Coach Mapping (by either creating a new mapping or editing an existing one), the system will find all students assigned the selected primary advisor and update the student's primary coach to the selected coach.
- Advisor Coach Mappings will override any existing coach assignment displayed on the student record.
-
- This includes manual coach assignments (manually entered through the UI), coach assignments created by Program Coach Mapping, or the SIS Import.
- Even if a coach was assigned to the student by the SIS Import or Advisor Coach mapping, if an Advisor-Coach mapping exists for the student's assigned Primary Advisor, this will override the existing coach and replace it with the coach defined in Advisor Coach Mapping.
-
Warning:
If you are using the SIS Import to set advisors on student records, you should never configure both Program Coach Mappings and Advisor Coach Mappings to set the coach on student records, rather you should use one or the other. If both are configured, a student's assigned coach may flip-flop between the coach that is defined in Advisor Coach Mapping and the coach defined in Program Coach Mapping.
Troubleshooting
If the student's success team looks incorrect and it seems that the advisor-coach mapping is not working as expected, check Relationships Administration to view how the student's success team got assigned and/or expired.
