Student Learning & Licensure Release Notes for August 18, 2026

Admins Can Now Build and Assign Custom Activity Templates in Student Learning & Licensure

Template and activity creation have been redesigned by separating templates from workflows and unifying creation into one guided flow.

What's new:

  • New Activities area (Activities and Activity Templates tabs) replaces scattered template/activity screens. Templates can now be reused across workflows.
  • Templates: Workflows, grade return, and component ownership have moved to the Activity Distribution step.
  • Template creation: Name the template, choose components, then click Save (private draft) or Save to organization to use a template in an activity. The standalone My Templates menu has been removed; any template from this area can now be found in the Activity Templates tab of the Activities menu. These templates are saved as an unaffiliated template and can be transferred to any node.
  • Create Activity is now a guided 4-step wizard with save-as-draft functionality at every step except the last:
    1. Activity Template and Name
    2. Workflow & Response Ownership — Choose the workflow per activity (not per template); includes Customize, Preview by Role, Bulk Assign, and Reset Field Ownership (Workflow Default / Most Recently Used Settings).
    3. Activity Settings and Schedule
    4. Set Activity Destination — Course and Course Sections, Placement Label, or Major.
  • Two new targeting options: Placement Label (via a new Labels tab under Placement Management > Tags) and Major (via a new Role Group on Membership).
  • Activity Scheduler now opens the same wizard; Due Date is optional and blank by default.
  • Classic Admin's Template and Activity Scheduler sub-tabs now redirect users to the new Activities menu or Academics & Offices.
  • Pre-existing templates keep working — their workflow association is removed automatically, making them reusable across workflows.
  • Creating an activity from the Activities section or Academics & Offices (Templates or Courses) utilizing an existing template will cause Step 2 to default to its original workflow configuration, though you retain the flexibility to switch to a different one if necessary.

Known issues (not yet resolved):

  • Templates created before this update using Form Submission/Internship Form Submission workflows show only those two workflows in the Step 2 dropdown (new templates show the full list).
  • Template- and workflow-related changes (e.g., field ownership, Enable Scoring) cannot be applied to already-sent scheduled activities — a new schedule is needed to apply those changes.
  • Creating an activity from the Activities menu or Academics & Offices currently skips the pre-publish confirmation modal — clicking Publish deploys the activity immediately.
  • Folder creation isn't yet available from the new side navigation — use the Academics & Offices side menu to create folders for now.

Unchanged: Everything after an activity is sent (submission, review, scoring, reporting) works as before.

Student Visibility for Admin Components

Licensure Plan requirements completed by Admins can now be made visible to students so they can see the complete path to licensure.

  1. Administrators and faculty can mark Administrator Requirements they manage as visible or hidden from students directly from the requirement editor.

  2. Students will only see the requirements marked visible — anything hidden will not appear in their Licensure Plan or count toward their progress totals.
  3. For a visible admin-tracked requirement, students will see a blank version of it until a result is recorded. Once the requirement is marked Met or Not Met, students will see the full result and details.
  4. New requirements will be visible to students by default; requirements that already exist in a plan will start out hidden until an administrator or faculty member chooses to show them.
  5. Visibility changes will take effect immediately, even for Licensure Plans already in use by a cohort of students.
  6. Archived requirements will stay hidden from students even if marked visible, so there is no risk of a removed item showing up by mistake.
