Inquiry forms from staff and students now generate prospect records
Previously, when a staff, faculty, or student submitted an inquiry form, the system recognized the existing email ID but the submission was lost entirely. Recruitment teams lost visibility into program interest from people already in the system in another capacity.
With this release, every inquiry form submission now results in a prospect record when one does not already exist for that email. The logic is:
- If the email matches an existing prospect, the form attaches to that prospect (no change).
- If the email does not match anyone in the system, a new prospect record is created (no change).
- If the email matches a staff, faculty, or student record, a new, dedicated prospect record is created for the inquiry.
The new prospect record behaves like any other prospect across Recruit, including pipelines, campaigns, filtering, and deduplication. This release also expands prospect merging: prospect records can now be merged into staff or faculty records, in addition to the existing ability to merge into student records. The original staff, faculty, or student record in Advise is unaffected.
This change is forward-looking and applies to inquiry forms submitted after the release; previously lost submissions are not retroactively recovered
