Meetings enhancements

Meetings Status in Activity Feed

Manually changing the status of a meeting now creates an activity feed item; meetings that automatically complete after the meeting end time will not create an activity feed item.

Phone call for meetings

This enhancement allows the system to easily collect students' preferred phone number for a phone-type meeting. Product changes:

  1. When scheduling a phone call meeting, students must provide a number on the confirmation screen. The field prefills with student’s primary number

  2. The meeting phone number now appears to both students and advisors within SS&E as the meeting location, as well as on the calendar invitation

  3. The field also now appears in the meeting detail view for phone call modality meetings

Note: extensions on phone numbers are not yet supported by this enhancement and will be developed in near future.

No show meeting status

This enhancement allows advisors to easily mark students as no show for meetings. There are three product changes:

No show button. 

Students can easily be marked in the People UI.

  1. Meeting Tab

Meetings Status

  • Meeting status is now further developed and may be one of the following: Canceled, Scheduled, No show, or Completed.
  • Meeting status may be updated from the dropdown within the edit meeting window.

  • Future meetings will by default have scheduled status; meetings in the past cannot be given a scheduled status
  • Once a meeting time has passed, the status automatically updates from scheduled to completed unless the meeting was already marked as no show
  • Canceling a meeting cannot be undone and a canceled meeting will always remain canceled
  • Canceled meetings cannot be edited except to add meeting notes within the “Comment” field
  • Status is now a required field when editing existing meetings

Reporting

  1. In the Meeting Summary Report, the column previously labeled “canceled” has been changed to “Status” and a filter for “status” has been added to the top of the report
  2. In custom reporting the column within Appointments report source previously labeled “canceled” has been changed to “Status”
    1. For all existing reports using this column, if a row contained the value “cancelled = yes”, the new value is “canceled”

Defect resolution

  • Fixes a bug causing issues opening a hyperlink on mobile sent through an appointment campaign
  • Fixes a bug preventing all programs from appearing within the inquiry form. The issue arose when institution sent imported a blank program
  • Fixes a bug assigning wrong IDs to prospects imported via the custom sheet type
