The Manage Terms feature allows for the organization of academic periods by defining names, unique term identifiers, and date ranges. While accessible to all clients, this feature is primarily utilized for the Student Reporting and Public Reporting Module and the Longitudinal Reporting feature that's part of the CES AI Addon.
The Manage Terms feature can be accessed by clicking Manage Terms in the Term section on the Properties tab of a project or by navigating to Account > Manage Terms.
Create and Configure Terms
Use the Manage Terms tool to create and edit a term as well as establish the parameters for each academic session.
Navigate to the Manage Terms section by clicking Manage Terms in the Term section on the Properties tab of a project or by navigating to Account > Manage Terms.
Enter the Term Name (e.g., Fall 2026).
Input a Term ID.
Select the Start Date and End Date.
Click Save Term.
Term ID Requirements
The Term ID is a free-form field used to uniquely identify a term within the system. Recommendation: If your institution uses specific codes in a Student Information System (SIS) or Learning Management System (LMS), feel free to use those same codes here for consistency. Alternatively, if you know you know you're only going to have one Fall 2026 term then you can set the Term ID to Fall 2026 instead.
NOTE: Entering a Term ID is required but its value does not impact system functionality. Whether an SIS ID, a specific name, or another preferred format is entered, the system will operate exactly as expected.
Uniqueness: Every Term ID must be unique.
Legacy IDs: Previously, the system generated IDs automatically. Users may manually update these legacy IDs to a preferred format, though it is not required for existing terms.
Set Term Dates
Term dates facilitate data organization, particularly when using Longitudinal Reporting within the CES AI Addon.
Start Date: Set this to align with the first day of the academic term.
End Date: Set this to align with the final day of the academic term.
NOTE: If the CES AI Addon is not enabled, these dates do not have an impact in the system but should still be set to reflect the active project window for accurate record-keeping.
Projects
The Project column indicates the total number of projects assigned to a specific term. Click the hyperlinked number to view a list of associated project names.
Deleting a Term
While terms cannot be deleted once created, you can repurpose an existing term to suit your needs. For instance, if you find yourself with a duplicate Fall 2026 entry, you can change edit one of the duplicate terms to Spring 2027 and use it for that upcoming period instead.
