Student Success & Engagement Release Notes for May 31, 2024: Meeting Scheduler Admin release

A bundle of enhancements has been released to assist migration to New Meeting Scheduler. Any institution using the Meeting Scheduler must take action at this time to continue using meetings.

 

Action required by Admins whose institution is using Meeting Scheduler

At this time, you should:

  1. Forward this link to your Campus Calendar Administrator.
    1. New Meeting Scheduler employs a new, improved integration which must be approved in a one-time action by your campus calendar administrator.
  2. Begin to prepare your instance for the New Meeting Scheduler. Please refer to this article for more detailed instructions.
    1. Enable modality (in-person, online, phone call)
    2. Update service offerings
      1. Remove “online” or “in person” from titles if present
      2. Add duration and description
    3. Update office listings (formerly service delivery location) 
      1. Remove “online” or “in person” from titles if present
      2. Verify relevant listings are active and link to correct services and appropriate campus name (formerly location)

Another set of enhancements for advisors was released on June 14.

All customers will be migrated to the live, New Meeting Scheduler on July 12.

  • If required steps are not taken prior to that date meeting slots will not generate in the scheduler.
  • If your campus wishes to enable the new scheduler before July 12, you may do so via a feature flag (instructions forthcoming).
  • A new mobile experience will also be released at that time.

Product changes for meeting management

Meeting modality is introduced

New meeting scheduler finally offers a way to properly designate meetings as online, in-person, or phone call. Modalities are not available to the legacy scheduler, but will appear throughout the new scheduler.

  • All meetings after changing to the new scheduler will include modality.
  • In-person meeting modality is by-default enabled.
  • To enable online or phone call modality, Admins must activate from Admin>Meetings>Meeting Modalities.

 

Service offering configuration

Service offerings must now have a set duration to appear in the new scheduler. Specifying meeting duration for a given service prevents students from selecting inconsistent and arbitrary lengths.

Services may now have a description. It will appear to students within the new scheduler and will assist students with selecting the correct service.

 

Service Delivery Location is renamed as Office and Location field is renamed as Campus

  • The rename aligns with how most institutions are already using these terms.
  • The rename allows institutions to be more specific and descriptive with these terms, in accordance with Watermark best practice.
  • The rename allows students to easily filter on the fields within the new scheduler.

Offices may be updated from Admin>Meetings>Offices.

Campuses may be updated from Admin>Campuses and Buildings.

 

Offices may be designated for old or new scheduler

To smooth the summer transition into the new scheduler, administrators can mark whether individual offices (service delivery location) will appear in the old (legacy) scheduler and/or the new scheduler.

 

Bulk actions on Office and Service

Admins may now:

  • Bulk activate/deactivate rows within Office and Service admin screens
  • Bulk designate which offices pertain to the old and new scheduler
