Institution Administration Configuration

Institution Configuration permits various institutional settings to be viewed, set, and/or changed.

To update a setting:

1. Select Edit
2. Enter the new value
3. Scroll to the bottom of the page and select "Save"

Fields

Acronym

The acronym for the institution.

SIS Health Notification Address

The email address that should receive SIS health check notifications when they go out of date.

Name

The full name of this institution. This will appear throughout SS&E where the institution name is used.

SS&E URL

The full URL link to the institution's SS&E instance.

System Name

Administrators may customize the institution’s system user name used throughout SS&E.

• By default, the system name usually appears as “Aviso Engage", "Aviso System" or ”Watermark University".
• The system name may be customized up to a maximum of 50 characters.
• As soon as the system name change is saved, the new name will appear throughout SS&E on all system initiated/automated interactions where the system user name is set by the Institution Configuration variable.
  • • This includes the "From" user on automated/system email messages, automated alerts, activity feed items, survey invitations, pipeline stage history, reporting, and created by / modified by  system user name in SS&E.
    • Even with a new system name, the SS&E URL, system user email domain, and no-reply system user email domain will still include "aviosapp".
      • • For example, the following email shows that the system name was modified to "SSE Beta" in the "From" name both in the message body and in the message sender name; while "Delivered by" and the system user sender email domain did not change to the new name.
          
• Once saved, the system name will update retroactively in most places in SS&E, however, the previous system name will still appear where it was included within the body of the event.
  • • For example, activity feed items that display the system name embedded in the event "text" are not controlled by the Institution Configuration variable, therefore these type of events will not display the new system name retroactively.
      

CDN Base URL

The base URL for the content delivery network on Amazon Cloudfront.

Application Title

The name of the application.

Area Code

The area code of the institution. This area code is used when text message phone numbers are generated for an institution's staff as part of the SMS Messaging functionality.

First in the World

Whether this instance of SS&E is configured for the First in the World efforts in North Carolina.

Course Placement Document Available

If selected, a course placement guide (provided by the institution) link will appear on the Test Scores tab of the student profile.

Course Placement Guide

The course placement guide that will be displayed on the Test Scores tab.  The file must be a PDF.  If a file is uploaded, the Course Placement Document Available will automatically be set to true when saving.

Financial Aid for Advising Document Available

If selected, SS&E will show a financial aid document on the Finances tab that has been supplied by the institution.

Financial Aid for Advising Document

A financial aid for Advising document that will be displayed on each students Finances tab.  The file must be a PDF. 

• If a file is uploaded, the Financial Aid for Advising Document Available will automatically be set to true when saving.

Days Until Alert Auto Expires

The number of days before an alert will auto-expire if a staff member has not taken action on it.

• The larger number between the Institution Configuration setting for "Days until Alert Auto Expires" and the individual Alert Setting for "Number of Days Before Repeating" represents the maximum number of days until an alert can be "applied" again.
• The alert setting value for "Number of Days Before Repeating" represents the minimum number of days until an alert can be applied again.
• For example:
  • • If both are set to 14 days, yet the alert is closed by a staff member after one day, then it can only send again in 13 days.
    • If "Days until Alert Auto Expires" is set to 14 days, and "Number of Days Before Repeating" is set to 2 days, if not closed "manually" it will only send again after 14 days. However, if closed earlier, or if closed immediately, it may send again after only 2 days from when the alert was created.
    • If "Days until Alert Auto Expires" is set to 10 days, and "Number of Days Before Repeating" is set to 14 days, this alert may only send again after 14 days from when the alert was created.

Minutes Until Note Not Editable

The number of minutes until a note is no longer editable by staff. Administrators can always edit a note regardless of age and can delete or update a note as needed.

Plan Sent to Student on Creation

Whether an academic plan is initially sent to the student. If unchecked, the advisor will own the plan first, with the student having no knowledge of the plan until the advisor submits it to them for the first time.

Program Name Append Acronym

Whether to append a program's acronym whenever the program name is used throughout SS&E.

Registration End Date Used for Determining Plan Term Active

If true, the plan will make the current term active for editing until the current term's end date.

Round GPA to Decimal Place

The number of decimal points to round the GPA.

Show Most Recent Alert on Course Roster

Whether to show the most recent alert on the student record on the faculty roster.

Days to Send Daily Digest Email

Which days during the week the Daily Digest email will be delivered.

Institution Url

The URL for the institution's website. This will open a separate tab for the user when they click on the institution's logo.

Term To Represent Coach

The term displayed throughout the solution for Coach.

Term to Represent Advisor

The term displayed throughout the solution for Advisor.

Term for Last LMS Login Date

The term displayed throughout the solution for the last login date label.

Welcome Message Template

The message template to use when sending a welcome message to a new student in the SS&E system.

Academic Plan Approved To Student Message Template

The message template to use when an academic plan is approved by an advisor.

Academic Plan Submit To Advisor Message Template

The message template to use when a student submits a plan to an advisor.

Academic Plan Submit To Student Message Template

The message template to use when an advisor submits a plan to a student.

Academic Plan Submit To Student Welcome Message Template

The message template to use the first time an advisor submits a plan to a student. This initial submission typically introduces the planning concept to the student through this email template.

Administrator Daily Digest Message Template

The message template used for the daily digest email delivered to Administrators.

Advisor Daily Digest Message Template

The message template used for the daily digest email delivered to Advisors and other non-administrative staff.

General Institution Message Template

The base message template that is used when sending a message from a staff account.

General Student Message Template

The base message template that is used when a student sends a message.

General System Message Template

The base message template used for messages sent by the system.

Color Scheme

The value for the header background color. A warning will appear if a color is selected that does not offer sufficient contrast with text throughout the product to comply with WCAG accessibility guidelines.

Logo

The institution logo used by SS&E. Must be 127x46 in size.
