5.2 Release Notes

Key Engagements

The goal of every institution is to facilitate engagements between success staff and students, leading to increases in student success. Aviso Engage promotes this concept in version 5.2 through the introduction of Key Engagements. Key Engagements permit an institution to set how often a student should have an engagement or interaction with your success staff. Further, as an institution or a manager overseeing a team, having data about the type of interactions that are occurring, and more importantly when they aren't occurring, facilitates accountability and a repeatable process, ensuring that students receive the interactions required.

Types of Key Engagements

Within Aviso Engage's administrative screens, there are various actions that can be considered Key Engagements. These activities include:

  • Notes - Notes have associated Note Types. Each Note Type can be configured as being a Key Engagement.
  • Meetings - When specifying a Meeting, the types of services offered and/or covered during the meeting are annotated as part of the meeting. Each of these service offerings can be configured to be a Key Engagement.
  • Impact Tasks - Each Impact Task can be configured as to whether it is a Key Engagement.
  • Surveys - A student taking a particular survey can be considered a Key Engagement, based on the specific survey being taken.

Aviso Engage will track the above Key Engagement activities and will display the students who have not had Key Engagements within a specific number of days. By default, when 5.2 rolls out to your institution, all of the above activities will be marked as Key Engagements. Aviso Engage Administrators will need to decide which activities do not classify as a Key Engagement and must turn those off in the Administrative panel.

Teams

Version 5.2 also introduces the concept of Teams. Teams are defined as a group of individuals related in some manner working toward a common goal. For your institution, this may be a group of Success Coaches, or Power Advisors, or any other combination of individuals. Teams will begin to proliferate through Aviso Engage in reporting and filtering in future versions of the software. Initially it will be available for Key Engagements to group success teams together for managerial reporting and filtering by Team as to the Key Engagements being completed.

Accountability

As a Manager who manages a team of advisors or other support personnel, a new widget exists that permits you to see, by team, an overall engagement score for your staff. Clicking on the progress bar drills you into the Key Engagement report to see the types of engagements performed on an individual's caseload.  Access to the Key Engagement Report is required to drill into the progress bar.  Clicking on the filter option permits you to look across teams and to change the number of days required for a key engagement from the system-wide default value. 

Where Should I Spend My Time?

As an Academic Advisor or other Success Team member, the Key Engagements widget shows which students on my caseload that have not been engaged. 

Reporting

A Key Engagements report is now available through Aviso Engage. This report allows those with permission to view students, and their assigned success team, who have not performed a Key Engagement within a specific number of days. As always, these results are able to be exported to Excel for additional data manipulation and charting. Please note that as with any reports, the proper roles will need to be granted access in order to access the Key Engagement report.  In addition, permission must be granted to the appropriate roles in order for individuals to drill down into the Key Engagement Score bar and to access the report. 

 

Administration

For Aviso Engage Administrators, new capabilities have been added to manage Key Engagements. 

Role Configuration

Two new permissions exist in the Role configuration section of Aviso Engage. These permissions include the ability to set a role to be able to view All Key Engagement Performance (regardless of team) and the ability to See My Teams' Key Engagement Performance (only teams I'm associated with). In general, a manager-like role will have both options selected, while non-manager roles will be permitted to only see Key Engagements for teams they are associated with.

Team Definition

Teams are defined within the Administration pages as well. A new Teams menu exists where an Aviso Engage Administrator can build teams by hand, or bulk upload teams through a CSV.

Next Steps

Key Engagements bring a level of clarity and accountability to an institution and how they are engaging their students. For some institutions, this will facilitate detailed conversations and potential process change. Performance Improvements

Version 5.2 of Aviso Engage includes a performance boost of up to 60%. The Engineering team has been working hard to improve the overall experience with speed being a primary focus of recent efforts.
