Email Notifications for Time Logs

Time Logs now have the option for email notifications to approvers and students. Administrators can enable or disable email notifications to specific participants (separate controls for each role as listed below) for time logs from Settings > Communication Management > Time Logs.

  • Students: This toggle would control email notifications to students when a reviewer or course section instructor requests revisions on their time log submission.
  • Instructors: This toggle would control email notifications to course instructors when a new time log is submitted by a student or when a time log for which the instructor performed the review is resubmitted by the student.
  • Reviewers: This toggle would control email notifications to reviewers (i.e. supervisors and mentors) when a new time log is submitted by a student for a placement with which they are associated or when a time log for which the reviewers (i.e. supervisors and mentors) performed the review is resubmitted by the student.

Time Log Management for Students: Edit & Delete Time Logs

Students now have more control over their time logs, creating a more collaborative experience and cleaner log data.

  1. Students are now able to delete time logs, improving accuracy of time log data by allowing students to remove duplicate or inaccurate time log records. Time logs in any status (pending, approved, rejected, or revisions requested) can be deleted and the hours will be removed from any hour totals.
  2. Students can edit time logs and resubmit them for approval. This update allows students to maintain accurate records and fix any errors that may be present in a time log entry. A version history will be maintained and available for approvers to review.

Time Log Management for Approvers: Delete & Request Revisions

Approvers and Instructors now have more control over student time logs, creating a more collaborative experience and cleaner log data.

  1. Instructors are now able to delete time logs, improving accuracy of time log data by allowing Instructors to remove duplicate or inaccurate time log records. Time logs in any status (pending, approved, rejected, or revisions requested) can be deleted and the hours will be removed from any hour totals.
  2. Time Log approvers (mentors, supervisors, and instructors) can now Request Revisions to time logs, providing more flexibility and collaboration in the management of student time logs. When a student has revised and resubmitted a time log entry the log will return to the original approvers queue and labeled as a Revised Entry with a revision log available to review changes.

Time Log Management for Administrators: Archive Categories & Hour Type Options

Administrators can now Archive log categories.

Archived log categories are not available to students when they create a new time log and are no longer able to be added to the list of Log Categories for new courses. Time Logs already submitted with an archived log category are still reflected in hour totals and available in reports and exports.

A log category that has already been added to a course will continue to be displayed under the Log Categories tab for that course with one of the following status based on whether or not they have already been used to create time logs by students for that course:

  • Archived (In Use)archived log categories that have been used to create time logs in sections from the course.
  • Archived (Not Used)archived log categories that have not yet been used to create time logs in sections from the course.

NOTE: An archived log category can be unarchived at any time by the administrator.

A status filter has also been added to the Log Category tab to allow administrators to quickly find log categories in the list.

Ability to exclude attachments when exporting application data

When exporting application data you are now able to choose to include application attachments or choose to export application data without attachments, speeding up the download process. This option is available for both exports with evaluation data included and exports that only include student application information. Exports that do not include attachments will be exported as a CSV while exports that include attachments will be exported as a ZIP file containing the CSV and student submitted attachments.

When exporting data for Internal applications that are not associated with any cohort, the choice will be via a modal.
