Time Logs Report

Locating the Time Logs Report

Time log reports only appear for institutions that have Field Experience enabled. To create a Time Log Report, users must have the admin or faculty role.

  1. Navigate to the Reports area of the system.
  2. Select the Create New Report drop down menu and choose Time Logs Report.

  3. Select a report type.
    1. The Section report type allows you to view approved hours across all students in one or more selected groups.

Generating a Section Type Time Logs Report

  1. If you select the Section report type, search for a section by entering a course name, course code, or section name. Selecting terms as part of the search will narrow the results, making it easier to choose the correct sections to include in the report.
    1. You may also edit your report type selection by clicking the pencil icon to the right of the Report Type.
  2. Select the courses and sections you would like to report on.
    1. Remove selections by unchecking the check boxes, or scrolling down the page and selecting the trash can icon to the right of each section.
  3. Click Create Report.

Understanding the Section Type Time Logs Report

The generated Section Type Time Logs Report displays the total number of approved hours by category and course. The sum of all the approved time log hours against all the categories is displayed under Section Total. If there are no approved time log hours for a category, the report will show 0h 00m.

If there are approved time log hours for a section that does not have any categories, the hours will appear under a No Category column. The sum of approved time log hours across all the sections and courses for each category is displayed under Total Hours Across Courses and Sections.

The sum of approved hours for each category across all sections for a particular course can be found by scrolling to the bottom of each course table. The total number of approved hours under each category are hyperlinks. When selected, it will open a flyout panel containing all the approved time log entries. This drill down view includes student name, date at site, duration, category, description, date time log submitted, reviewer, and review comments.

By default, all time log categories that have been mapped to the selected courses are displayed in the report. Use the View Categories drop down menu to uncheck any log categories you do not wish to view.

Selecting the Student radio button next to View by will change the contents of the report to display total approved hours for each student enrolled in each group template. Category filter selections will reflect in both the Section and Student views. This view only allows you to see a specified student’s details for a single section at a time. The Student Type Time Logs Report allows you to search by student and see all sections that student is enrolled in. If you need to view results by student for a specific section, it is recommended that you filter the search results by term and/or select the specific section, or use the Student Type Time Logs Report.

Generating a Student Type Time Logs Report

  1. If you select the Student report type, search for a student by entering a student’s name or email address.
  2. You may also edit your report type selection by clicking the pencil icon to the right of the Report Type.
  3. Select the students you would like to report on.

  4. Remove selections by unchecking the check boxes, or scrolling down the page and selecting the trash can icon to the right of each group.
  5. Click Create Report.

Understanding the Student Type Time Logs Report

The generated Student Type Time Logs Report displays the total number of approved hours by category for each internship group that a student is enrolled in. The sum of all the approved time log hours against all the categories is displayed under Section Total. If there are no approved time log hours for a category, the report will show 0h 00m.

This report view only displays one student at a time. If more than one student was selected during the search, you may toggle to a different student by selecting the View Student drop down menu and selecting a different student. Students are displayed in the drop down menu in alphabetical order by last name. By default, all time log categories that have been mapped to the selected courses are displayed in the report. Use the View Categories drop down menu to uncheck any log categories you do not wish to view.
