The Adjunct Faculty function is unique in that it automatically creates a dynamic caseload for the adjunct faculty member.
-
By definition, the Adjunct Faculty role/function can only see students that are in course sections they are currently instructing.
-
- When assigning the Adjunct Faculty function/role, some of the "special permissions" listed on the user's Permissions tab may automatically change without being updated in Role Administration on any of the user-assigned roles.
-
- If this is not the intention, a new role may be created in Roles Administration based on the Faculty function instead.
-
- Using the Faculty function, a new role can be built dynamically in Role Administration so that it does not automatically apply all the built-in special permissions assigned by the adjunct faculty role/function listed below.
- When using a Faculty function/role, permissions entered in Role Administration should always match up with the user's aggregated permissions displayed on their Permissions tab in People Administration.
-
In addition, when assigned to a user, the Adjunct Faculty role/function will override all permissions and settings that are assigned by any roles that are assigned to the user.
- The Adjunct Faculty role/function works differently than other roles.
- Roles are typically "additive" in nature, meaning that the system will check to see if the user has ANY role with a particular permission in order to grant it.
- However, the Adjunct Faculty role/function works somewhat the opposite way - if you have an Adjunct Faculty role/function, the permissions are hard-coded in the backend and by nature, the adjunct faculty role will take away permissions that were set to Yes and "should" be granted to the user based on their role permissions.
For example:
Can See Full Profile For All Students
If a staff member has a role(s) that allows viewing the full profile for all students (eg. "Everyone"), and they are also assigned the Adjunct Faculty role/function, the staff member will no longer be permitted to view all students. This permission setting will change from "Yes" to "No" on the person record in People Administration > User Details > Permissions, even if this does not match what is set on any of the user assigned roles in Role Administration.
Can See Transcript Tab
If a staff member has a role(s) that allows viewing the Transcript tab for a student, and also has an Adjunct Faculty role/function, the staff member will NOT be permitted to view the student's Transcript tab because the Adjunct Faculty role will remove this permission and change the user's aggregated Permissions (displayed in People Administration >User Detail) to "No".
Adjunct Faculty - Special Permissions
The following permissions and behaviors will always apply when the Adjunct Faculty role/function is assigned, and it does not matter what is set in the user's individually assigned role(s) permission settings.
- Can only view student records for students they are currently instructing. It does not matter how the "Can View..." permissions are set on the user's assigned role(s) in Role Administration.
- When sending a message, can only use "All Students on My Roster" or "Selected Recipients" modes.
-
Cannot modify Followers or "Caseload".
- Adjunct faculty will not see "Follow" or "Un-follow" buttons on student profile pages, and cannot modify their caseload or following settings on the "Settings" page, including "Excluded Programs."
- Can only see notes they created (cannot see notes others have created).
- Cannot add notes to alerts.
- Cannot close alerts.
- Cannot use walk-in meetings or calendar integration.
-
Cannot see the following tabs on the student profile:
- Transcript
- Test Score
- Finance
- Academic Plan
- Meetings
- Documents
- Cannot apply tags manually onto a student profile.
- Cannot access Reports.
- Cannot access Academic Plans (Academic Planning).
- The system will automatically ensure they are following all the students that are registered in course sections that are "active" and the Adjunct Faculty person is instructing (either as the primary instructor or secondary instructor on specific course sections/meetings).
- The system will automatically includes events, alerts, and achievements for students they follow, and these settings cannot be modified.
- All Follower subscriptions for the Adjunct Faculty role will be automatically expired during the SIS Import Job if the targeted student is no longer enrolled in a course section that the Adjunct Faculty is instructing.
Note: The Adjunct Faculty Role is in the process of being deprecated in favor of specific role-level permissions and user settings that encompass the built-in behaviors concerning users with the Adjunct Faculty Role.
