Application and High School Student Filter Grouping and Scope Changes

Overview

All of the student filter options that can optionally display for staff users in the Student Filter are configurable in Student Search Filters from Person Type Settings.

The following article describes grouping and scope changes made to the Student Filter Application and High School Categories that affect the filtered results.

  • These changes will only apply to institutions that are already using the Student Filter High School and/or Application categories.
  • Institutions that have not yet activated High School and/or Application Student Filter categories can refer to the "After" examples to better understand the expected behavior.

High School Student Filter - Scope Change

In the past, when a student filter EXCLUDED select High School(s), the results would also include students that were NOT associated with any high school, eg. the item being excluded/filtered upon.

To further clarify, even if the item being filtered on (the existence of a Person High School record) was missing from the student record, the student would still be included in the results.

After the 7.9.0 release, any student filter that excludes high school(s) will no longer include students without a Person High School record in the results.

  • A great analogy is when booking a vacation*, if you are looking for a hotel that has a pool open in the evening, you would exclude hotels that close their pool before 6 PM.  If the search results included hotels without a pool, that would be incorrect. (*credit goes to Chris and Carter!)

Examples

To better explain what changed, here are a few before and after examples:

Before: Filter on Everyone, Exclude High School A

The Student Filter results include:

  1. Students that imported with at least one High School.
  2. None of the imported Person high school records are associated with HS A. If at least one of the student's Person HS records are associated with HS A, the student will be excluded from the results.
  3. Students that have no high schools listed on their student record.

=We should only expect to see students that are associated with at least one high school that is not High School A in the results. If students are not associated with any high school, we have no way of evaluating if the student should or should not be included in the results, therefore these students should not be displayed in the student filter results.

After: Filter on Everyone, Exclude High School A

The Student Filter results include:

  1. Students that imported with at least one High School.
  2. Students that include at least one Person High School record that is not HS A.
  3. Students will only be excluded from the results if ALL of the student's Person High School high school associations are excluded in the student filter.

Before: Filter on Everyone , Include High School A

The Student Filter results include:

  1. Students that imported with at least one High School record.
  2. At least one of the student's imported Person high school records are associated with HS A.

After: Filter on Everyone , Include High School A

The Student Filter results include the same results.

Before: Filter on Everyone, Exclude High School A, Exclude High School B

The Student Filter results include:

  1. Students that imported with at least one High School.
  2. None of the imported Person high school records are associated with HS A or HS B. If at least one of the student's Person HS records are associated with High School A OR with High School B, the student will be excluded from the results. If a student is associated both with HS A and HS B, they will also be excluded from the results.
  3. Students that have no high schools listed on their student record are also included in the results.

=We should only expect to see students that are associated with at least one high school and are not associated with High School A and/or with High School B in the results. Students that are not associated with a high school are not relevant as they cannot be evaluated and should not be included in the results.

After: Filter on Everyone, Exclude High School A, Exclude High School B

The Student Filter results include:

  1. Students that imported with at least one High School.
  2. None of the imported Person high school records are associated with HS A or HS B. If at least one of the student's Person HS records are associated with High School A OR with High School B, the student will be excluded from the results. If a student is associated both with HS A and HS B, they will also be excluded from the results.

Application/High School Student Filter - Grouping Change

In the past, when a student filter included multiple selections within an Application/High School Student Filter category, if students have more than one person application or person high school record, the results sometimes included student records where only one or some of the filter conditions applied to a single Person High School or single Person Application record.

To further clarify, even if the items being filtered upon (for example, HS A with a HS GPA 3.0 ) did not apply to the SAME high school, the student would still be included in the results. The reason for this was that if the student had multiple Person High School records, and one of them was associated with HS A with a GPA of 2.1, while another HS they attended was associated with a GPA above 3.0, they would still be included in the filtered results.

After the 7.9.0 release, a student filter that includes multiple items within the Application/High School category, will no longer include results for students that are associated with more than one Person Application/Person High School record with mismatched data included on their Person High School and/or Person Application records importing from the SIS. 

With this change, students will only be included in the results if the student filter high school/application category selections apply to the same person application/person high school record.

Examples

To better explain what changed, here are a few before and after examples:

Before:  Filter on Everyone, Include Ashland High School, High School GPA 3.25

The results included mismatched results where the student filter includes:

  1. Students that imported with at least one of their Person High School records associated with Ashland High School.
  2. Students that imported with at least one of their Person High School records displaying a GPA 3.25.

=However, we should only expect to see students from Ashland High School with a GPA above 3.25 included in the student filter results, and Olivia Student's High School data does not match these conditions. Therefore, Olivia Student should not be included in the results.

The results should only include students that are importing from the SIS on the Person High School data feed with a person high school record that includes both Ashland High School AND a High School GPA above 3.25. 

After: Filter on Everyone, Include Ashland High School, High School GPA 3.25

The results only include students that are importing from the SIS with a Person High School record that is associated both with Ashland High School AND a High School GPA above 3.25.

Before:

Filter on Everyone , Include Application Status Completed, Application Type Physical

The results included mismatched results where the student filter includes:

  1. Students that imported with at least one of their Person Application records associated with a status of Completed.
  2. Students that imported with at least one of their Person Application records associated with an application type of Physical.

=However, we should only expect to see students with an Application record that is both Completed and Physical.

The results should only include students that are importing from the SIS on the Person Application data feed with a person application record that includes both a Completed application status AND a Physical application type.

After: 

Filter on Everyone , Include Application Status Completed, Application Type Physical

The results only include students that are importing from the SIS with a Person Application record that is associated both with a Completed application status Id AND a Physical Application Type Id.
