Editing Application Templates

Overview

This article details how administrators can manage application templates within Program Applications. It covers adding new components, archiving unneeded components, reviewing template revision history, restoring previous versions, and understanding what student applicants encounter while updates are being published.

Adding Components to Application Templates

  1. Go to the Program Applications tab and select the Application Templates sub-tab.
  2. Select the three dots menu next to the name of the application template and choose Edit.
  3. Add additional components by selecting the + (plus) icons on the template page.
  4. Once all adjustments are complete, select Save Changes or Publish.

Note: If Save Changes is selected without publishing, the template displays a message indicating there are unpublished changes. Administrators can choose to publish or discard these changes within Program Applications.

Archiving Components of an Application Template

  1. Go to the Program Applications tab and select the Application Templates sub-tab.
  2. Select the three dots menu next to the name of the application template and choose Edit.
  3. Select the three dots menu next to the specific component that requires archiving, then select Archive.

  4. Confirm the component archiving prompt.

  5. Once all adjustments are complete, select Save Changes or Publish.

Viewing Revision History

Once adjustments have been made to an application template, administrators can view historical changes made to the template over time.

  1. Go to the Program Applications tab and select the Application Templates sub-tab.
  2. Select the title of the desired application template.
  3. Select the clock icon to open the Revision History menu.
  4. Select the View button next to the version to review.

Restoring Previous Versions

If changes were made to an application template that need to be reverted, administrators can restore previous versions.

  1. Go to the Program Applications tab and select the Application Templates sub-tab.
  2. Select the title of the application template.
  3. Select the clock icon to open the Revision History menu.
  4. Select the View button next to the version to restore.
  5. Select the Actions dropdown menu and choose Restore.

Student View During the Updating Process

Application templates can be edited in real time. When items are added or removed, active applications update automatically. Submissions completed before updates remain unchanged and retain all original components. If a student starts an application and saves it as a draft prior to template updates, the student receives an update notification message upon returning.
