Creating Application Templates

Application Template Creation

Administrators will see an Applications tab and an Application Templates tab upon clicking the Program Applications side navigation. Click the Applications Templates tab to create an application template.

This is the view when no templates have been created yet.

Clicking the Create Template button will open the template creation page. Here, you can give the template a title and select a hierarchy/organizational node. Users associated with the selected node will be able to access the application. You can either save the template as a draft or continue creating it by adding components.

The 'Create template' page is where you begin designing your application.

Components are the various form entries you can add to the template. Clicking the Insert Component button opens a side panel with all the different components that can be added to the application template for students to fill out.

Adding Components to Your Template

Resource Content Components

Resource Content components contain information or guidelines for students to refer to while completing the application.

  • Section Header: Add a header text to the application.

  • Text: Add help or informational text for students.

  • Link: Add links for students to refer to.

  • Attachments: Attach files for students to download. You can upload a maximum of 5 files, with a maximum file size of 20MB per file.

Student Input Components

Student Input components are used for students to provide their responses while completing an application.

  • Small Text Field: Add a small text area for students to fill out. The character limit is 300 characters.

  • Large Text Area: Add a large text area with a word limit of 500 words.

  • Link: Add a link field for students to add reference links.

  • File Upload: Add a file upload component for students to submit supporting documents. They can upload a maximum of 5 files, with a maximum file size of 50MB per file.

  • Dropdown: Add a dropdown field with up to 20 options for students to choose from.

  • Multiselect Checkboxes: Add multiselect checkboxes with up to 20 options for students.

  • Acknowledgement Checkbox: Add an acknowledgement checkbox that students can check off before submitting the application.

Managing a Template

Template creators can edit (using the pencil icon), delete/remove (using the bin icon), or add new components (using the plus icon) to a template they have created.

To preview the template, click the Preview Template link next to the Organization dropdown.

You can save a template by clicking the Save as Draft button or by directly publishing it. To publish a template, it must have at least one component.

Clicking the Publish button displays a confirmation dialogue.

You can choose to either publish the template and distribute it later or use the Publish & Distribute Now button to start distributing the application immediately. Clicking this button will direct you to the Application Distribution page, where the organization and template dropdowns are pre-populated.

Existing templates can be edited and saved. Every time you save updates, the "Last Updated" date and time stamp for the template is updated.
