Distributing Applications

Application Distribution

Once a template is published, it can be used to distribute the applications. To distribute a published application, click the Applications sub tab. If there already exist published and distributed applications, you can also view them from the Applications tab.

Administrators can start by clicking the Distribute Application button that takes them to the Distribute Application page. They can then provide the application a title and a description (please note that the Title field is mandatory).

An organization needs to be selected in order to be able to select a template. Once an organization is selected, a placeholder titled ‘Template 1’ with a drop-down appears under the Select templates header.   It will display a list of templates associated with the selected organization. This is a single select drop down, users can select only one template. Users can click ‘Add Another Template’ if they wish to add more templates. Users can add up to 3 templates.

Administrators can preview the application by clicking the Preview Application Link.

Hitting Save will save the application in the Closed State. Administrators would need to open the application in order to make it available to students for submission.

The application can be opened and made available to students for submission using the Open Now option in the overflow menu.

Once an application is opened, it will be available to students for submission. Please note that the availability of an application to a student is based on the organization with which they are aligned/associated.

Administrators can search an application by its title or choose to filter or sort the list of applications to find a particular application.

They can search based on application title as well as organization name. They can also filter the applications based on application status - ‘Open’ and ‘Close’; the default setting would be “All Applications” for this filter. Also they can sort the applications based on the following parameters:-

  • Last Closed

  • Last Opened

  • Last Submission

  • Last Updated

  • Organization

  • Title

The default sorting would be by application title.

Administrators will see a bunch of helpful information for each application in order to select the right application and understand some metrics at a glance. Each application will be displayed with the following information:-

  • Application title

  • Program/Organization association

  • Open/Close status

  • Various statuses along with submission counts.

  • Last updated time stamp and by who

  • Last Opened/Last Closed

  • Last Submission

Administrators can also review the application right from the list. They are not required to click on the application in order to start reviewing student submissions. Clicking the Start Reviewing button takes them directly to the first unreviewed submission and saves time.

They can edit an application until no student submission has been made. This can be done by clicking the Edit Application option from the overflow menu.

Clicking the option will take the user to the edit application page, where they can make required edits to the application.

Once student submissions have been received, administrators will not be able to change the organization or the template for an application. Both the fields will be in the disabled form.

They can delete an application if the application in case there are no student submissions. The Delete option will be hidden once student submissions have been received for an application.

Clicking the delete option will display an alert and the user can take the required action.

On deletion, the application will disappear from the student’s end as well.
