Managing Course and Student Mappings for Advanced LMS integrations

Overview

This article explains how Administrators view and manage data synchronization pairings within the platform. It outlines the processes for auditing user profiles, locating unmatched records, and manually mapping student and course details pulled from an external Learning Management System (LMS)—such as Canvas, D2L Brightspace, or Blackboard—into Planning & Self-Study (P&SS).

Managing LMS Student Mappings

Administrators can check automated student pairings and manually connect records when an automatic match is not found during a system sync. This ensures cross-platform data accuracy.

To manage the LMS integrations, select Admin > Integrations.

LMS Mappings Status Card

A status card on the LMS Mappings page provides an instant summary of student record health. Selecting Review Mappings opens a detailed view of the Course Sections and Student Mappings.

  • At-a-Glance Count: Displays how many total students match a system user out of the total pool (for example, "1100/1284").
  • All Mapped Indicator: Displays a green badge to confirm when every student record successfully matches a system user.
  • Needs Attention Indicator: Displays an amber badge and a clear count when one or more student records require manual mapping.

Student Mapping Details Table

A comprehensive table lists every student pulled from the LMS along with their current matching status. When the list exceeds 25 students, page navigation controls appear automatically.

LMS Student NameThe first and last name of the student within the LMS.
LMS Student Email (Canvas & Blackboard)The email address of the student inside Canvas or Blackboard.
LMS Student Org Defined ID (D2L)The organization-defined identifier for the student inside D2L Brightspace.
Sys Admin EmailThe email address of the matched system user. Unmapped rows display a double-dash placeholder ("--").
Sys Admin Person IDThe unique person ID of the matched system user. Unmapped rows display a double-dash placeholder ("--").
StatusDisplays either "Mapped" or "Unmapped".

Search and Filter Tools

Administrators can locate specific student records quickly using built-in management tools:

  • Search by Name: Search using a full or partial student name to find matching results.
  • Search by Email: Search using an LMS email address or an internal system email address.
  • Filter by Status: Select "All Statuses," "Mapped," or "Unmapped" to narrow the table view.
  • Combined Search and Filter: Use the search bar and status filters together to isolate specific records. If no students match the chosen criteria, the system displays a "No results found" message.

Manually Mapping a Student

To link an unmapped LMS student to a system user, complete the following steps:

  • Select Edit (pencil icon) on any unmapped student row.

  • Review the LMS student details in the editing panel that opens on the screen.
  • Search for a system user by entering their name or email address.
  • Select the correct match from the search results. A "Mapped" indicator confirms the selection.

  • Select Save Mappings to finalize the change. The system displays a confirmation notification stating: "Student [Name] has been mapped."

Important Notes on Student Mapping:

  • Mapping Permissions: Administrators can only modify student records that are currently marked as "Unmapped." Student records matched automatically during a system sync cannot be changed here. Similarly, administrators can only edit or remove mappings for students who were manually matched from this page.
  • Identifier Matching: When mapping an LMS student from this screen, the Canvas student email address or the D2L Org Defined ID does not need to match the P&SS user's email address or Person ID. The system allows administrators to link records even if their identifiers differ across platforms.

Removing a Student Mapping

Administrators can only remove student mapping for a student that was manually mapped.

To remove an existing manual mapping and correct an error, complete the following steps:

  • Open the editing panel for the mapped student.
  • Select the Remove icon next to the selected user profile.
  • Select Remove Mapping on the confirmation prompt, then select Save Mappings.
  • The student returns to an "Unmapped" status, and the system confirms: "Student [Name] has been unmapped."

Note: Removing a student mapping may alter or disconnect assessment data that the system already pulled in for that student.


Managing LMS Course Mappings

Administrators can view which LMS courses match P&SS course sections to help identify unmapped courses and align them manually.

To manage this, select Admin > Integrations.

Enhanced Integration Card

The primary LMS integration card on the Admin > Integrations screen displays key health details:

  • Last Sync Time: Displays the date and timestamp of the most recent automated data synchronization.
  • Sections Mapped: Displays a clear count showing how many LMS courses match system sections versus the total available catalog volume.
  • Students Mapped: Displays a count showing how many LMS students match system users versus the total profile volume.
  • Integration Status: Summarizes whether the integration is fully connected or contains mapping issues that require administrative review.
  • Quick Action Buttons: Provides direct access to open the course mappings page.

Dedicated LMS Mappings Page

A dedicated course mapping workspace is available under the Admin > Integrations menu. This page provides a table view of all LMS courses and their current status:

  • Course Sections Indicator: Displays the total number of mapped versus total LMS courses.
  • Comprehensive Search: Locates courses quickly by searching for the LMS course name or unique course identifier.
  • Status Filtering: Filters the table to show all, mapped, or unmapped courses.
  • Automatic Pagination: Displays page navigation controls automatically when the list exceeds default view lengths.

Note on Column Labels: Table column labels adjust automatically based on the specific LMS platform (Canvas, D2L, or Blackboard) to show the correct platform-specific identifier terminology.

Course Mapping Table Column Descriptions

Column NameDescription of Displayed Data
LMS Course NameThe title of the course within the LMS environment.
Course IdentifierThe specific code or ID pulled from the LMS (such as Canvas SIS ID, D2L Course Offering Code, or Blackboard Course ID).
Mapped P&SS Section IDThe corresponding identifier for the matched Planning & Self-Study section.
Section NumberThe specific section number assigned within the system.
StatusDisplays either "Mapped" or "Unmapped".

Mapping and Editing Course Sections

To manually map an unmapped LMS course to a P&SS course section, complete the following steps:

  • Select the Edit icon on an unmapped course row to open the mapping panel.

  • Search for P&SS sections by entering a course name or course code.
  • Select the correct P&SS section and select Save Mapping.
  • The system displays an on-screen confirmation notification when saved. The system pulls relevant assessment data during the next scheduled synchronization event.

Important Notes on Course Mapping:

  • Mapping Permissions: Administrators can only map LMS courses that are currently marked as "Unmapped" on this page. Courses mapped automatically during a sync cannot be re-mapped here. Similarly, administrators can only edit mappings for courses that were manually mapped from this page.
  • Identifier Cross-Matching: When mapping an LMS course from this screen, the Canvas Student Information System (SIS) ID, the D2L Course Offering Code, or the Blackboard Course ID does not need to match the P&SS course section. Administrators can select any P&SS course section even if its Section ID differs from the LMS identifier.

Removing Course Section Mappings

Administrators can only remove mapping for courses that were manually mapped.

To remove an existing manual course mapping to correct an error, complete the following steps:

  • Select the Remove icon on a mapped course section within the mapping panel.
  • Select to confirm the action on the confirmation prompt to prevent accidental removal.
  • Save the changes to return the LMS course to an unmapped status. The system displays an on-screen notification confirming the update.

Note: If an administrator later re-maps the same LMS course to the same P&SS section, the previously collected assessment data and tool alignments become available again immediately.

Preservation of Manual Mappings During Syncs

The system clearly distinguishes between manual mappings created by administrators and automatic mappings created during synchronization. Manual mappings are preserved during data syncs and are no longer removed or overwritten. The system correctly fetches data for manually mapped courses during both automatic and manual synchronizations.

If manual mappings have been added, please submit a request to the Watermark Support team for a manual data sync.
