Managing Email Notifications

Overview

This article explains how administrators can manage email notifications across Assessment Plans, Accreditation Self-Studies, Program Review, and Strategic Plans including how users are redirected when interacting with notification links.

Email Notification Controls for Planning

Administrators have global control over email notifications within the system. Toggling these settings turns notifications on or off for all users in the organization. The system tracks and displays the exact date and time it sent the last email for each specific notification type.

To manage email notifications, navigate to Admin>Notifications.

Plan Published Notification Emails

The program lead or course lead receives an email notification when a plan is published. Clicking the 'Get Started' link redirects the user based on their login status and platform role:

  • Logged-in Administrators land on the Progress By Organization page.
  • Logged-in Contributors land on the Outcome List Page.
  • Users who are not logged in must complete the login process before the system directs them to their designated page.

If the system removes a program lead from the organization, or if a user deletes the plan entirely, any attempt to use the link from the publication email redirects the user to an alert message.

Accreditation Self-Studies Email Notifications

Administrators can enable and disable email notifications for specific areas within the self-study module. These settings apply to any user assigned to a self-study as a contributor, administrator, or assignee. This dashboard area also displays the last timestamp for sent notifications.

Email Notification Controls for Program Review

Administrators can manage notifications for various features within the Program Review tool. These settings apply globally across the organization. The system displays the specific date and time it last sent each notification type.

The program lead receives an email notification whenever a program review launches. Clicking the 'Get Started' link routes the user based on their active role and credentials:

  • Logged-in Administrators land on the Program Review side menu page.
  • Logged-in Contributors land on the Overview sub-tab of that specific program review.
  • Users who are not logged in must authenticate first, after which the system routes them to the correct page.

If the system removes the program lead from the organization, or if a user deletes the program review, clicking the launch email link routes the user to an access alert.

The system sends automated messages from noreply@watermarkinsights.com. Disabling notifications stops all outgoing messages for that category. Re-enabling the setting allows future triggers to send emails normally.

Email Notification Controls for Strategic Plans

Administrators can enable and disable global email notifications for milestones, updates, and alerts within the Strategic Plans module. The interface monitors and displays the exact date and time the platform processed the last automated transmission.

Security Assertion Markup Language (SAML) Update for Notification Emails

Users who authenticate using Security Assertion Markup Language (SAML) redirect directly to the institution's designated login page if they do not have an active session when clicking an email link for Planning & Self-Study features.

Following a successful login, the system sends the user to the correct landing page for that notification type. For users with active access to multiple Watermark products, the system opens the product selection page first. Once the user selects Planning & Self-Study, they navigate straight to the destination page.
