Importing Outcomes

Overview

This article explains how to import Learning and Success Outcomes into Planning & Self-Study in bulk using Comma Separated Values (CSV) files. This process is designed for Administrators who need to migrate data from other systems or upload large sets of documented outcomes efficiently.

Preparing for the Import

Before the import process, please review these requirements to ensure the import goes through successfully:

  • Terminology Consistency: If Outcome terminology was modified in the Admin tab, those specific terms must be used within the CSV files.
  • Batch Size: There is no hard limit on the number of outcomes; however, batches of 2,000 outcomes or fewer ensure optimal system performance.
  • Template Selection: Unique templates exist for Organizational (Program) Outcomes and Course Outcomes. The data must match the specific template type to avoid failure.

Importing Outcomes

The import process involves identifying organizational codes and uploading the formatted file:

  • Locate Organizational IDs: Select Organization Management to find the Organizational ID values. These values ensure outcomes align with the correct organization.

Note: System Administrators can export Organization and Program files to reference all required ID codes.

  • Access Import Tools: Select Import and Import Outcomes in the top-right corner.

  • Download Template: Select Download Template to retrieve the file in .CSV format.

  • Upload Data: Once the CSV template is populated, use the Upload CSV button. The system validates the file against character limits and checks for duplicate outcomes.
  • Confirm Results:

    • Success: A message indicates the number of outcomes added.

    • Failure: The Outcome Errors card displays the exact location and nature of the errors. This card shows up to 50 errors per page.

Optional Outcome Titles

Outcomes can be imported using only the Organization Code or Course Code. If no title is provided, the system auto-generates one based on the following logic:

After outcomes are imported, Leads can immediately begin to use them and make any modifications needed. If outcomes have been imported without a proper title, we strongly recommend that leads create a relevant title, as titles appear in reports and dashboards throughout the site.

Preventing Simultaneous Uploads

The system detects and notifies a user if there is another Outcomes import being worked on by another user. This will prevent the current user from importing outcomes while the other concurrent import is in progress, reducing the risk of duplication, data inconsistencies and other errors.

Users can click the Try Again option to upload their outcome file again. If an upload is already in progress, an error notice stating Upload is still in progress will appear. Users can still click on Try Again until the ongoing upload is done.
