Reviewing Your Security Roles

As you use and modify your Security Roles, you will want to be able to review them from time to time. We have a built a couple of resources for you to assist with this process. Depending on your needs, a downloadable spreadsheet or a feature within Faculty Success will be most helpful. See the following sections for your options, and select the one that best meets your needs.

Downloading All Users to Review Security Roles

To see a list of all of your users, and the individual security roles to which they are assigned, you can use the Download All User Information download report, and select the second worksheet – Security Information. This will list all users in Column A, and all Security Roles in subsequent columns. Each user row then has a "Yes" in the column of each Security Role to which that user has access. If the role is a unit specific role, the name of the unit will appear instead of "Yes". If the role is an Individual role, the name of the user will appear instead of "Yes".

➤ To access this worksheet:

  1. In Faculty Success, select Tools > Users and Security in the Navigation Bar.
  2. Directly above the list of users, select Download All User Information.
  3. Select the Security Information worksheet once you've opened the download.

Downloading the Security Role Configuration

To see a list of all of your security roles, and the permissions which are available to each, you can use the Download Security Role Configuration Details link available from View Security Roles within Users and Security.

➤ To download the Configuration Report of all of your Faculty Success security roles:

  1. In Faculty Success, select Users and Security in the Navigation Bar.
  2. If you have access to multiple instruments, select the instrument for which you wish to view security roles. If you only have access to one instrument, proceed to Step 3.
  3. Directly above the list of users, select View Security Roles.

  4. Above the list of security roles, click Download Security Role Configuration Report to download a Microsoft Excel spreadsheet detailing each role and its permissions.

    Opening this downloaded report will give you a spreadsheet of the security roles currently available for your users. An example of this download is attached for your reference.

Downloading the Report Security Details

For a more detailed view of which security roles or units have access to a specific custom report, you can use the Download Custom Report Security Details link available in View Security Roles.

➤ To download the security roles for your custom reports:

  1. In Faculty Success, select Users and Security in the Navigation Bar.
  2. Directly above the list of users, select View Security Roles.
  3. Directly below the Download Security Role Configuration Details link, select the Download Custom Report Security Details link.

For a more dynamic view of your security roles and both the users and permission assigned to these roles, you can use the View Security Roles function available within Users and Security.

➤ To view all users or permissions provisioned to a security role:

  1. In Faculty Success, select Users and Security in the Navigation Bar.
  2. If you have access to multiple instruments, select the instrument for which you wish to view security roles. If you only have access to one instrument, proceed to Step 3.
  3. Directly above the list of users, select View Security Roles.

  4. On the View Security Roles page, find the security role you wish to examine.
  5. Expand the list of permissions provisioned to a particular security role by selecting the plus sign () in front of Users or Permissions.
  6. The list of users or permissions for that particular security role appears.
  7. If the role has the Run Custom Reports permission, select Details to see a list of the custom reports the role can run.
