Assigning Exception Events to Faculty in Bulk

This article guides administrators on using the Bulk Import feature to add multiple Faculty Exception Events to career timelines simultaneously using a Comma Separated Values (CSV) file. This process replaces the manual, one-by-one entry process, saving significant time.

The Bulk Import process offers several advantages for administrators:

  • Save Time: Add dozens or hundreds of exception events in a fraction of the time it takes to enter them manually.
  • Improve Efficiency: Streamline administrative workflows, especially during peak academic periods.
  • Ensure Data Accuracy: The system automatically validates data for common errors, such as incorrect usernames, invalid dates, or formatting issues, before completing the import.
  • Simple to Use: Download the template, fill in the details, and upload the file.

How to Use the Bulk Import Feature

Prepare the Import File

To ensure a successful import, prepare the CSV file by downloading and using the recommended template.

  1. Click on Career Pathways.

Fill in the Required Data

Open the CSV template and fill in the following columns for each event. Adhere strictly to the requirements for each field to avoid import errors.

Column Name Requirement Description and Validation
username Required

The unique username of the faculty member.

Validation: Must correspond to an existing username in the system.

event_title Required

A clear and concise title for the event.

Validation: The title must exactly match an event title that already exists in your institution's Event "library". Limit: 255 characters maximum.

start_date Required

The start date of the event. Start Date format must be YYYY-MM-DD.

Validation: Must be a valid date that is earlier than or the same as the end_date.

end_date Required

The end date of the event. End Date format must be YYYY-MM-DD.

Validation: Must be a valid date that is later than or the same as the start_date.

impact_to_career_path Required

Specify how the event affects the career timeline.

Values: Must use of one of the three values: Advances, Delays, or None. Visit Creating Result & Exception Events for more information on Events.

number_of_academic_years_of_impact Conditional

The number of years the timeline is advanced or delayed.

Required: This field is required if impact_to_career_path is set to Advances or Delays.

Validation: Must be a whole number between 1 and 59.

description Optional A brief explanation of the event. Limit: 500 characters maximum.

Upload and Review the File

  1. Upload the completed CSV file. The system processes the file and checks for errors.
  2. If the upload is successful, a confirmation message appears indicating how many events were added.
  3. If errors are detected, the import is halted. Download an error report that details the specific issues in each row.
  4. Correct the errors in the original CSV file and re-upload.
