New Features
Unit Administrator Permissions
A significant enhancement to Workflow Permissions is now available with Unit Level Administrator (ULA) Permissions. This feature allows Workflow Admins to delegate administrative control over Submissions and Role Group management to specific users at the defined unit level (e.g., either college or department). This provides a powerful new tool for true administrative delegation, shifting from the previous view-only Permissions functionality.
Granting unit-level administration the ability to manage their own workflow processes provides the following benefits:

Greater Autonomy: Units can manage their own submissions and role groups without needing to rely on a central Workflow Admin.
Note: By default, University level setups will use "College" as the unit level permissions. This may be changed to a different level by submitting a Work Request. Only one level of Unit Administrator is available.
- Increased Efficiency: Reduces the administrative challenges for central admins, speeding up workflow processes.
- Enhanced Flexibility: Provides control to assign the right level of access to the right people.
Permissions are defined per user, allowing flexibility in the scope of access available to each ULA. Once a Workflow Admin has granted permissions, the ULA will have expanded capabilities in Workflow.
Submissions Management
A ULA with this permission gains full administrative control over submissions within their assigned unit(s). From the Workflow Submissions table, they can now perform the following actions on submissions within their unit:
- Send Back a submission to a previous step.
- Complete a step on behalf of a user.
- Cancel an in-progress submission.
- Undo Complete on a finished step.
- Edit Attached Files within a submission.
Role Group Management
A ULA with this permission can create and manage Role Groups for their assigned unit:
- View all role groups
- Duplicate any role groups
- Create new role groups
- Edit role groups they have created or duplicated
- Delete role groups they have created or duplicated
New "Managed By" Column: The Workflow > Configuration > Role Groups table now includes a "Managed By" column, which clearly indicates which unit is responsible for a Role Group.

Enhancements
Improved Schedule Auto-Close Reliability
We’ve resolved an issue where some schedules weren’t auto-closing as expected. The root cause was that the system wasn’t correctly logging the “last modified” date, which disrupted the process. With this fix, both processes now track changes accurately, ensuring schedules close and start as intended.
