Assigning Faculty to Career Paths

This article provides instructions on how to use the Bulk Assign tool in Career Pathways. It outlines a step-by-step process for administrators to manually assign multiple faculty members to a specific Career Path.

Bulk Assign Faculty to a Career Path

There are two ways to assign faculty to a Career Path:

  • Assign Manually
  • Import from CSV

Overview

The Bulk Assign tool uses information from Faculty Accomplishments and Faculty Career Pathways to filter faculty. The tool filters users who meet the specific requirements of the Career Path.

The Career Pathways Administrator can search for applicable users based on:

  • College
  • Department
  • Faculty/Staff Rank

Accessing the Assign Manually Tool

  1. Navigate to the Career Pathways tab.
  2. Click Manage Faculty.
  3. Click Assign Career Paths.
  4. Select Bulk Assign on the top right.
  5. Choose the Assign Manually option. This will launch the bulk assignment workflow.

Assigning Faculty Manually

Step 1: Select the Career Path

  1. Choose the Career Path you want to assign to users from the list.
  2. Review the Description, Career Type, and Restrictions (Organizations and Ranks) displayed below to confirm you have selected the correct path.
  3. Click Next.

Step 2: Select the Faculty

  1. Click Add Faculty. A panel will open to the right.
  2. Search for users based on College, Department, or Faculty/Staff Rank. Click Apply.

  3. Select the desired faculty members from the search results.

  4. Add the selected users to the main page.

Step 3: Confirm and Assign

  1. Review the list of faculty you have selected to ensure it is correct.
  2. Click Confirm & Assign. A confirmation message will display, showing the number of faculty successfully assigned.

After confirming, you will be returned to the Manage Faculty page, which shows all faculty assigned to the Career Path.

A Career Path can also be assigned by the Unassigned View. For more information on how to do this, visit Unassigned Faculty View using Manage Faculty

Removing a Faculty Member

To remove a faculty member from a Career Path before confirming, click the remove icon (a circle with a slash through it) next to their name.

Import from CSV

Overview

Use the CSV Bulk Assign tool in Faculty Career Pathways to assign a large group of faculty to a specific career path. This tool validates that all usernames and career path titles exist, user accounts are enabled, and user accounts match the organization and rank selections for the aligned career path.

Access the Import from CSV Tool

  1. Navigate to the Career Pathways tab.
  2. Click Manage Faculty.
  3. Click Assign Career Paths.
  4. Select Bulk Assign on the top right.
  5. Choose Import from CSV.

Prepare Your CSV File

To assign career paths, the file must contain two headers below:

  • username
  • career_path_title

Download CSV Template

You can download a template for your import from the Import Career Path Assignments page.

Find Usernames

There are two ways to get a list of usernames:

  1. All User Information Export
    • Navigate to Users and Security.
    • Select the Download All User Information link.
    • Open the downloaded file.
    • Filter column G to "Yes" to find enabled users.
    • Filter column H to "Yes" to find users with access to manage activities.
    • Use the usernames from column E.

  2. Export Data Report
    • Navigate to Reports.
    • Click Create a New Report.
    • Select Export Data.
    • Leave the date range and "whom to include" settings at their defaults.
    • Open the Data to Include section.
    • Select at least one field from the Personal and Contact Information screen, as well as the "Most Recent" fields.
    • Run the report and use the "Most Recent" details to find the correct usernames.

Find Career Path Titles

To view your existing career path titles:

  1. Navigate to Career Pathways at the top.
  2. Select the Career Paths tab.

Important: Only career paths in an active state can be used for bulk assignment. Ensure the career path is not in a draft or archived state.

Upload the File

The following requirements must be met to upload your file successfully:

  • File Type: CSV
  • Maximum File Size: 100MB
  • Maximum Rows (Records): 20,000
  1. Once you have created your file, upload it to the import tool.
  2. A green checkmark next to the file name confirms there are no errors.
  3. Click Import.

Troubleshoot Import Errors

The import process checks for errors in your file. The error report identifies the row number, column, and the specific error found.

Error Scenarios
Username could not be found
  • The user account does not have track activities enabled for the instrument (orgUnitId).
  • The user account is disabled.
  • Username is blank in the file.
  • User does not exist in the organization (username does not exist within the Institution).
  • The user has track activities enabled for the corresponding instrument (orgUnitId) but does not have a yearly data record (i.e. the user has no College or Department associated with their account).
Career Path could not be found
  • Career Path Title does not exist in Faculty Career Pathways.
  • Career Path is in DRAFT or ARCHIVED state.
User already assigned to a Career Path
  • Occurs if the user is already assigned a career path.
User could not be assigned to this Career Path
  • Occurs if the user does not have an organization (College, Department, Rank) that matches the requested Career Path.

Important: If a user does not have a College, Department, or Rank, they cannot be assigned to a career path.
