Making the Move to System Administration

Watermark Student Learning & Licensure + System Administration

System Administration is now available to most clients that use Student Learning & Licensure.

System Administration is Watermark's module intended for you to centrally load and manage common core data from your Student Information System (SIS).

For Student Learning & Licensure, System Administration enables the adoption of the Gateways and Applications modules, part of the Advanced Package offering of Student Learning & Licensure.

System Administration also enables the adoption of Assessment Projects for both our Advanced and Base Package clients and will position your institution for future integrations and insights from the Watermark Suite.

 

This article should help you prepare for the move and know what to expect as you transition from the Student Learning & Licensure Classic Administration Experience to System Administration.


Considerations


Here are a few things to keep in mind if you are considering making the move to Watermark System Administration:

  • Watermark Navigator - If your institution is not currently on Watermark Navigator, we will move you to it as a part of the upgrade process. This will result in an update to your Single-Sign On or the login page for Faculty and Administrators. No changes will be made to the student login experience. If you are already on Navigator, nothing will change about your login process.
  • Data File Updates - While similar, the data files required for System Administration vary from the files you are currently providing in Student Learning & Licensure Classic. As a part of the training process, we will work with you and your IT to understand the new format and process for providing data. See this help article on the CSV Import Guidelines 
  • API Imports - If you are currently using an API to import data into Student Learning & Licensure, you will need to move to a new process. See this help center section on the options for importing data into System Adminsitration: Importing Data
  • In addition to the changes above, there is one feature consideration to keep in mind as well. System Administration does not support the notion of section roles for a student. If you were using multiple section roles in Student Learning & Licensure, you will no longer have this option when moving to System Administration. If you are unsure if you are using this feature, you can check to see if you have multiple student roles by running the Membership Extract and reviewing any sections that have multiple student roles.

What is the process?

The move to system administration consists of four 1-hour training sessions. During these sessions, the Watermark team will:

  • Confirm a downtime and migrate your existing Student Learning & Licensure core data to System Administration (12-24 hours depending on your data set)
  • Provide training on System Administration and the new file formats and location
  • Provide training on the new Gateways and Applications modules

Who needs to be involved?

  • Student Learning & Licensure administrators
  • Other campus administrators using Student Learning & Licensure
  • Campus IT for updated file formats and location
  • Campus IT for Single Sign-On updates if using SSO and not on Navigator

What will change?

  • System Administration will be added as an option in our app switcher for Administrators with those permissions
  • Data that was previously loaded into Student Learning & Licensure for the hierarchy, people, courses, course sections, and enrollments will be migrated to System Administration
  • All other data related to activities and assessments will not change
  • All new data will need to be updated to a new format and loaded in System Administration rather than the current Administration area in Student Learning & Licensure
  • If you are not already on Navigator, we will be updating the login URL for your campus portal for faculty, staff, and administrators

How do I sign up?

If you are interested in moving forward, we have two training options available to move to System Administration.

System Administration Migration & Training, plus Gateways, & Applications Training
This option is for institutions interested in moving to System Administration and also receiving training on Gateways and Applications.

System Administration Migration & Training
This option is for institutions interested in moving to System Administration and pursuing training for Gateways and Applications at a later time, or institutions interested in moving to System Administration and pursuing Assessment Projects. Note: Assessment Projects training is not included as a part of this training package. You can find more information about Assessment Projects and training options here.
