Publication Proactive Search

Proactive Search is an empowering tool that encourages faculty members to take ownership of their achievements. By automating retrieval of their scholarly accomplishments for validation instead of mandating manual entry, this approach will boost administrative trust in the data and streamline faculty engagement.

How to Use Proactive Search

While viewing the main Activities page, a new Notifications pane will appear to the left side of the screen. Notifications will be divided into two categories, To Do and Complete, and have a timestamp indicating when the Publication match was found. A double arrow allows for the pane to be collapsed to simplify the viewing experience. To begin the process of reviewing a matched publication, select a "New Publication Found" box to view details of the publication.

Once on the preview page for the publication, there are options to Edit, Reject, or Add To Profile.

Selecting the option to Add to Profile will create a new publication record with the information shown in the preview. If additional publication matches are available for review, a prompt will appear to move to the next match or return to the main activities home page.

If any changes are needed to the information retrieved from the publication database, the record may instead be edited before importing. Selecting this option will open the record editor with the information shown in the preview. After completing any revisions, selecting "Save & Add To Profile" will finish the creation of the new publication. At any time during editing, the import may be canceled by choosing "Discard Edits", and you will be returned to the main activities home page.

In some cases, the institution may have additional required fields that need to be completed prior to adding the publication to the profile. When this is the case, only "Reject" and "Continue to Edit" will be available while reviewing the publication match.

In other cases, a proposed publication match may either have already been added to the activities profile or isn't applicable to the current user. In these cases, choosing the option to "Reject" the proposed match will remove it from the notifications list and will not be shown again in the future.

The system may also identify potential duplicates and label these in the Notifications pane as "Possible Duplicate Publication Found." Selecting this entry will open the Compare screen, where differences may be reviewed and the correct information confirmed. After selecting all of the correct information, a final "Add & Edit Details" page will show the end result before completing the update to the existing publication. At any time during this process, the publication may be added as a new record or rejected instead of merged into the matched publication.

A completed import interaction will show on the secondary tab of the Notifications pane. Publications shown under this section will also indicate how the publication was handled, whether it was added as new, merged, or rejected.

Matching Publications to Faculty

Author names use fuzzy matching, ignoring spaces, hyphens, apostrophes, and other non-alphabetical characters

Duplicate Detection

Duplicate detection uses to Digital Object Identifier field (DOI), and will occur when we find a publication with a DOI that matches a DOI already stored in the user's Faculty Success profile. Faculty have the option to review duplicates side by side and determine whether to add the duplicate results as a new record, merged record, or skip/reject import of the duplicate record.
