How to Compare the LMS Course Roster with the SIS Course Roster

No data is syncing from the LMS on a select course section

Resolution

In some cases, the LMS Enrollment Data (current grades, last login dates, assignment submission dates etc.) is syncing from the LMS on the select course, however the course roster is mismatched between the LMS and the SIS.

If the course roster is mismatched between the LMS and the SIS, this means that students syncing from the LMS system, as seen in the course section record "Enrollments from LMS" data, are not importing from the SIS system, as seen in the Transcript Course Imported Data View "Enrollment" data or from the UI on the course sections listed on each individual student's Courses tab.

How to check if enrolled students syncing from the LMS are included/not included in the SIS enrollment data:

  1. From SSE Admin > Course Section Administration, find/select the course section.
  2. Note the course section LMS Id and Src System Id.
  3. Click on "Enrollments from LMS"
  4. View the enrolled students by checking the student identifier, which is usually the students edu email address.
  5. Copy the email address for a few students and search for the students in People Administration or in the Student search from the UI.
  6. Check the students Courses tab for the current term/course from step 1, or search for the student's Person Id in the Transcript Course Imported Data View while filtering on status "Registered" and the course section Src System Id noted in step 2.
  7. If there is no match, this indicates that the course roster syncing from the LMS does not match the course roster importing from the SIS for the same course section.
  8. To fix this, someone familiar with the course roster data must verify which system is correct and update either the course LMS Id or the SIS source data. 
    • If the SIS course roster data is correct, then most likely the course LMS Id is incorrect. To fix this:
      1. Verify the correct course section LMS Id (with help from the LMS Administrator if needed).
      2. Manually enter the correct LMS Id in Course Section Administration, following instructions found here.
      3. Once the correct course section LMS Id is displayed in SS&E, students syncing from the LMS should match the enrolled students importing from the SIS via Transcript Course data feed.
      4. Verify that the LMS data syncing from Course Section Administration > Enrollments from LMS is displayed correctly in SS&E on the students Courses tab.
    • If the LMS course roster data is correct, that would indicate that the Transcript Course data is importing incorrectly from the SIS system. To fix this:
      1. Research why the Transcript Course data feed is not importing the correct data for the select course section (with help from the SIS Administrator is needed).
      2. Fix the course data in the SIS source system / data extract definitions.
      3. Once fixed, verify that the LMS enrollment data is displayed correctly in SS&E on the students Courses tab.
