Application Review for Administrators

Administrators and other assigned reviewers can begin reviewing student applications by following the steps below.


How to Review an Application

  1. To see applications available for review, click into the Program Applications tab.
  2. You can either click the Start Reviewing button, which will automatically open an application, or click the application's title to see all available applications to review.
  3. If you chose to click on the application's name, you will be taken to the review screen where you can see the names of the students who have submitted the application under the Applicants heading.

    The left side of the screen displays the My Tasks area, and the Start Admitting button is what you would use to start evaluating applications.

  4. After clicking Start Admitting, you'll see the application and the Deny and Accept buttons. For the Accept button, reviewers will see two options: Accept Now or Conditionally Accept. Reviewers can choose their preferred option, and the selection can be updated later using the Change Status option.

    Note: Each application is different so there may be additional things you need to complete before being able to mark as Deny or Accept.

  5. The Change Status link can be used to update the status for a student application. Status changes will be tracked and displayed for reference (Optional). The status options are: Awaiting Review, Accepted, Conditionally Accepted, Denied, Deferred, and Withdrawn.   6. The application has now been successfully reviewed.

Ability to Review an Application Through a Licensure Plan

Administrators can also review applications through a Licensure Plan.

  1. Start by clicking into the Gateways tab on the side menu and selecting the name of the cohort that holds the application.
  2. You'll need to navigate to the area of the Licensure Plan Insights that holds the application.
  3. Once you find it, click the three dots and select Start Reviewing or View Requirement Overview Page to select a specific student to evaluate. The 'Licensure Plan Insights' with an application listed. An overflow menu with 'Start Reviewing' and 'View Requirement Overview Page' is displayed.
  4. You will be able to assess the application as: Deny, Accept Now, or Conditionally Accept.

    Note: Each application is different so there may be additional things you need to complete before being able to mark as Deny or Accept.


Changing an Application's Status

If you have been granted permission to manage admissions, you can use the Change Status button to update a student's admission status. In addition to Accepted, Conditional Accepted, and Denied, you can also select Deferred or Withdrawn.

When an application's status is updated to Deferred or Withdrawn, an email notification is automatically sent to the student (for external applications). You can configure and manage these email notifications under Communication Management in the Settings tab.


Student Resubmission

Student users will see a Resubmit button for a particular application if they are given the Conditionally Accepted or Denied status. They can choose to resubmit the application from their Licensure Plan or from the program applications side menu.

Note: They will only have the option to resubmit if the "Allow application to be resubmitted" checkbox was selected during evaluation.

Student users will see a Resubmit Application button on the application. They can directly click the button from within the card and resubmit the application.

After resubmitting, once the reviewer accepts the student's application, the student will see a confirmation in the Program Applications tab and within their Licensure Plan (if the application was associated with one). Students will also see the status in the bar chart for their Licensure Plan (if the plan contains an application).

Adding Internal Notes and Viewing History

You can add internal notes and upload supporting documents for your evaluation using the Add Internal Note option, accessible via the three-dot overflow menu. These notes and documents are confidential and only visible to other evaluators with appropriate permissions.

You can also view the specific history of an evaluation by clicking the View History option.

Note: For a comprehensive overview of all changes made to the application, including internal notes, document uploads, modifications to evaluation elements, and status changes, click the View Application History button on the left hand under the application status area.
