How is Course Roster data imported?

Overview

The course roster (student enrollment) data displayed for every instructor in each of their classes is imported from the SIS on the Transcript Course data feed.

• Instructors are imported from the SIS on the Course Section and Course Section Schedule Element data feeds. For more information about how instructors get assigned in SS&E, click here.
• Enrolled students are imported from the SIS on the Transcript Course data feed with a "registered" status. 
• Both the instructors and the students get associated with a course via the Course Section Source System ID imported from the SIS on the Course Section data feed.
• The class schedule is imported from the SIS on the Course Section Schedule Element data feed. The schedule is associated with a course section via the Course Section Source System ID imported from the SIS on the Course Section data feed.  A Course Section does not require a Course Section Schedule Element record to exist.

To find the roster data imported from the SIS:

1. From Course Sections Administration found here, search for the course by the course name, section, term, or instructor.
2. On the results, view the instructor(s) imported from the SIS and copy the SIS Source System Id from the far right column.
3. From Transcript Course Datafeed Administration found here, search the Transcript Course data imported from the SIS filtered on the course_section_src_system_id from step 2 and status_id "Registered". 
4. These results should match the class roster displayed on the Instructor's Courses tab in the UI.

Data Feed Administration

If anything seems incorrect, download the latest data extract from Admin -> SIS Integration -> Datafeeds for each relevant data feed to verify the data being imported from the SIS.

    • To view student data - search the Person and Transcript Course data by the Student Id.
    • To view course data - search the Course Section data by the Course Section Id.
    • To view the course schedule - search the Course Section Schedule Element data by the Course Section Id.

• If the data extract does not include the correct data, it must be fixed in the data extract definitions.
• If the data extract does include the correct/missing data, check the SIS Import Errors and/or open a ticket with Watermark SS&E Support.
