How to Access a Submission

Overview

This article explains how faculty can access active review tasks in Faculty Success through email notifications or directly within the system. It outlines where to find tasks from the Reviews areas and how to open them for submission. The guide also clarifies when tasks are available and answers common questions about missing or inaccessible review tasks.

Access via Email Notification

When a Workflow process launches, an email notification may be sent.

  1. Open the invitation email sent from the system.
  2. Click the Submit Review Materials button or the hyperlink in the email to open the submission

Note: The Workflow Administrator determines if an email notification is sent and the frequency of reminders.

Access within Faculty Success

Access active tasks at any time from Home or Reviews.

  1. Log in to Faculty Success.

Faculty Home

  1. From Home, any tasks awaiting your involvement will appear within Tasks & To-Dos.
  2. Click the name of the process to open the form for your submission.
  3. If you navigate away from the task, or need to change to a different task, returning will take you to the Reviews section.

Reviews

  1. Click Reviews from the navigation bar.
  2. Select the task process name from the Inbox table. Only active tasks will be available from the inbox.

Note: When the Joint Appointment type "Each appointment receives a separate step" is enabled for a process, reviewers will see the specific appointment for which their review is being collected in the Step column.

Task Availability

A task remains available until one of the following occurs:

  • The step is completed and submitted to the next step in the process.
  • The step is not completed by the due date, and the process is administratively configured to automatically advance to the next step.
  • The submission is recalled or administratively sent back to a previous step.

I received an email notification but the task is no longer available, who should I contact?

It is common for processes and tasks to be continuously refined and routed by your campus administration and reviewers involved in your process. The task may return within a couple of days once edits have been completed to the process and reviewers. If you have any questions, reach out to your campus administration.

I'm experiencing trouble accessing the task from my email inbox or clicking the hyperlink, how can I access the task?

Access Faculty Success using your primary campus provided links and navigate to home or reviews to manually access the task. Notify campus administration so the links are corrected in a future cycle.
