Demographic and Academic File Field Definitions

Outcomes Assessment Projects can be configured to collect only the specific demographic fields for students that an institution wants to use in their analysis on performance results. The fields chosen will allow you to filter your results by the demographic data supplied for each student.

There are two student demographic files:

  • Demographic – These are fields related to the student
  • Academic – These are fields related to the student and the academic session

IdentifierEmailEmail address of the student which should be unique for each student across an institution. Must be formatted as a valid email address.Must be formatted as a valid email address.
DemographicAddressStreet address of the student.A set of alpha-numeric characters or numbers of any length
DemographicCityCity of the student's address.A set of alpha-numeric characters or numbers of any length
DemographicStateState of the student's address.A set of alpha-numeric characters or numbers of any length
DemographicPhonePhone number of the student.A set of alpha-numeric characters or numbers of any length
DemographicBirth YearThe year only in which a student was born. DO NOT include month and day.YYYY.
Must be a 4 digit number between 1900 and the current year.
DemographicGenderThe student’s genderMust be Male/Female or M/F.
DemographicRace / EthnicityThe student’s race or ethnicity based on the categories used in IPEDSA set of alpha-numeric characters or numbers of any length
DemographicUS Residency StatusUS Residency Status of the student.A set of alpha-numeric characters or numbers of any length
DemographicUS Residency StateUS Residency State of the student.A set of alpha-numeric characters or numbers of any length
DemographicCountry of OriginCountry the student was born in.A set of alpha-numeric characters or numbers of any length
DemographicMarital StatusMarital status of the student.A set of alpha-numeric characters or numbers of any length
DemographicFirst Generation StudentStudents whose parents never enrolled in postsecondary education.Must be Yes/No, or Y/N.
DemographicPELL EligibilityStudents who have been eligible for a Pell grant at any point during their career as a student.Must be Yes/No, or Y/N.
DemographicAdmission YearYear the student was admitted to the institution. DO NOT include month and day.YYYY.
Must be a 4 digit number.
DemographicTransfer StudentStudents who have transferred into the institution from another institution.Must be Yes/No, or Y/N.
AcademicTerm TitleIndicate the term for the data in a given row.Must match a term name provided for the institution
AcademicMajorMajor declared by the student.A set of alpha-numeric characters or numbers of any length
AcademicMinorMinor declared by the student.A set of alpha-numeric characters or numbers of any length
AcademicFull-time or Part-timeFull time or part time enrollment status of the student.A set of alpha-numeric characters or numbers of any length
AcademicGPACurrent cumulative GPA of the student.A numeric value
AcademicDegree LevelDegree Level in which the student is enrolled (eg. Certificate, Associate, Bachelors, Masters, Doctorate).A set of alpha-numeric characters or numbers of any length
AcademicClass LevelClass Level student is at based on credits earned (eg. Freshman, Sophomore, Junior, Senior, Graduate).A set of alpha-numeric characters or numbers of any length
AcademicCredits EarnedThe number of credits a student earned from successful completion of courses at the institution or transferred into the institution.A numeric value
AcademicStudent TypeStudent Type defines the type of student.A set of alpha-numeric characters or numbers of any length
SubmissionCourse GradeThe grade the student received in the course the assignment was given in.A set of alpha-numeric characters or numbers of any length
